Job Summary
We are seeking an experienced and highly organised Reception Administrator to join our GP practice team. The successful candidate will provide a high-quality, patient-focused reception and administrative service, acting as the first point of contact for patients and visitors. Experience using clinical/medical systems within a primary care setting is essential.
Key Responsibilities
- Reception & Patient Services
- Act as the first point of contact for patients, visitors, and external professionals, both in person and via telephone
- Manage appointment bookings, cancellations, and amendments in line with practice protocols
- Signpost patients appropriately to clinicians, services, and external organisations
- Handle patient queries sensitively and confidentially
- Manage repeat prescription requests and liaise with clinical staff where required
- Administrative Duties
- Accurately input and update patient information on the clinical system
- Process patient registrations, deductions, and temporary resident registrations
- Manage incoming and outgoing correspondence (post, email, electronic documents)
- Scan, code, and file clinical documents in line with practice procedures
- Support clinicians and the wider administrative team with day-to-day tasks
- Medical Systems & IT
- Confidently use GP clinical systems such as EMIS Web is preferred
- Use appointment, messaging, and document management functions effectively
- Ensure accurate data entry and compliance with information governance standards
- Use Microsoft Office and other practice IT systems as required
- Confidentiality & Governance
- Maintain strict confidentiality in accordance with GDPR and NHS information governance guidelines
- Follow practice policies and procedures at all times
- Contribute to a safe working environment and report any concerns appropriately
Person Specification
Essential
- Previous experience working as a Reception Administrator in a GP practice or healthcare setting
- Excellent communication and interpersonal skills
- Ability to work under pressure in a busy environment
- Strong organisational and time-management skills
- Good IT skills, including data entry and document handling
- Understanding of patient confidentiality and information governance
Desirable
- Knowledge of NHS primary care services and pathways
- Experience handling prescription requests and clinical correspondence
- Customer service or patient-facing experience in healthcare
- NVQ or equivalent qualification in administration or customer service
