Scope of the Role
To provide a top level, highly confidential and effective Assistant support to the Executive Committee members based in our offices at Kensington, London.
Duties & Responsibilities
- Have a good knowledge of the businesses strategy and contacts to deal efficiently with or refer enquiries (both external and internal) in a discreet and highly professional manner.
- Support the local Executive Committee members in managing their professional diary.
Monitoring and prioritising their workload, delegating and actioning tasks where necessary to help meet deadlines.
- Plan and manage business travel and accommodation arrangements for Executive Committee including organising necessary itineraries.
- Collate, manage and ensure prompt payment of expenses.
- Participate in projects including preparation and compilation of presentations if required.
- Arrange meetings as requested including meeting room bookings and room set up, ensuring a complete agenda is issued in advance and taking minutes where necessary.
- Meet and greet visitors at all levels of seniority.
- Screen telephone calls, manage enquiries/requests and handle them accordingly.
Deal with both email and verbal correspondence on behalf of the Executive Committee members, keeping them informed of any urgent matters and following up on actions.

Skills & Knowledge
- Previous PA/EA experience preferred.
- Ability to communicate (orally and in writing) with people at all levels maintaining the strictest confidentiality and security of conversations, documentation and files at all times.
- Experienced Microsoft Office user (Outlook, Excel, Power Point).
- Highly developed organisational skills, attention to detail and ability to multitask.
- Ability to use initiative and remain calm under pressure.
- Ability to prioritise and meet deadlines.
- Ability to offer discretion and confidentiality at all times is essential.
- Self-motivated, proactive and highly flexible.
