Salary: £27,000 - £29,000

The role is office based. 37.5 hours per week Monday-Friday.

We are seeking a dedicated full time Stock Administrator to join a dynamic team that values efficiency, teamwork, and continuous improvement. The ideal candidate will cover sales order entry, purchasing of product, activation of Gift Cards and fulfilment and distribution of product for our Gift Card and Gift Voucher clients.

Main Duties:

  • Maintain accurate stock records for all physical and digital stock.
  • Ensure all stock movements (incoming, outgoing, expired, or damaged stock) are recorded in real time.
  • Conduct regular stock checks and reconciliations to identify and resolve discrepancies.
  • Ensure expired or obsolete stock is removed from circulation and adjusted correctly.
  • Monitor stock levels on an ongoing basis to ensure sufficient supply to meet operational demand.
  • Pull and review digital stock reports on a weekly basis (e.g. every Friday) to forecast ordering requirements.
  • Place stock orders in a timely manner to avoid shortages or outages, particularly over weekends or peak periods.
  • Liaise with suppliers or internal stakeholders regarding stock availability and delivery timelines.
  • Own and maintain stock management processes, ensuring they are documented, up to date, and followed consistently.
  • Provide regular updates to Operations leadership on stock levels, risks, and upcoming requirements.
  • Flag potential stock issues early and propose solutions to mitigate operational impact.
  • Work closely with Operations, Finance, and Account Management teams to ensure alignment and accuracy.
  • Ensure stock management practices comply with internal controls and audit requirements.
  • Support investigations into stock discrepancies and implement corrective actions.
