The Project Governance IT Planning, Reporting & Administration team is part of the Technology department. The Head of IT Planning, Reporting & Administration is accountable for the planning and delivery of MUFG Bank London Branch's portfolio of systems investment projects.
Main purpose of the role: Reporting into the Head of Project Governance, support the Head of IT Planning, Reporting & Administration to:
- Own and drive portfolio and project reporting, including the monthly portfolio reporting pack from updates by Portfolio and Project Managers in Planview; create minutes and management information tailored for the audience.
- Oversee correct accounting practices for MUFG Bank projects and delivery of key year/month end deliverables.
- Engage with IT Planning, Reporting & Administration; Central PMO; EMEA Region Executive Reporting; and Bank Head Office GITD teams to ensure investment portfolios are managed and overseen consistently.
- Maintain data quality in the golden source PPM toolset and collaborate with centralised Technology and Central PMO functions.
Key Responsibilities:
- Own & Drive Portfolio & Project Reporting: maintain Investment Committee Terms of Reference; manage annual calendar and publish committee dates; prepare agendas and materials; circulate minutes for auditable records.
- Provide escalation input from Investment Committee to EDF agenda; ensure reporting standards and timely updates.
- Work with Risk teams to deliver Risk Reporting into standing committees; monitor Key Risk Indicators and risk reporting cadence.
- Oversee JPM meeting operations and secretariat activities; drive continuous improvement in JPM submissions and bi-weekly health checks for MUFG Bank projects.
- Ensure data completeness and accuracy during annual planning; create reporting requirements to support Investco inputs.
- Oversee Correct Accounting Practices for MUFG Bank London Branch projects: financial controls, monthly baselines, manpower costs, forecast updates, and data reconciliation to the Finance golden source.
- Collaborate with Finance on policy-aligned reporting and recharge processes; prepare monthly investment status reports for senior stakeholders.
- Prepare depreciation budgets and support financial planning processes as required.
Work Experience:
- Minimum 8 years proven track record in executive reporting and financial process delivery and oversight.
- Experience in project cost categorisation and its impact on financial reporting.
- Planview or similar PPM tool experience; end-user with strong data extraction/manipulation skills.
- Advanced Excel; experience with Oracle Financials or equivalent Payables module.
- Experience with Planview and Power BI or similar tools; strong MS Office suite skills; SharePoint intermediate.
- Knowledge of Waterfall project delivery lifecycle and governance, including RAID, financials, and resource management.
Desirable:
- Experience budgeting and presenting financials across programmes; ability to influence adherence to project lifecycle and governance.
Skills And Experience:
- Financial – cost categorisation (capital vs expense).
- Project / Portfolio management including change control and governance.
- Delivering projects from cradle to grave and conducting post-implementation reviews.
- Change risk management and overall portfolio management.
- Roadmap, critical path management, and financial control.
- Resource management and governance documentation (Terms of Reference).
Education / Qualifications Preferred:
- Accounting qualification (ACCA, ACA, CIMA).
- Relevant qualifications/accreditations (Prince2, PMI, Six Sigma, Agile, etc.).
Personal Requirements:
- Confident leadership and ability to guide a high-performing team.
- Strategic, communicative, results-driven, proactive, and capable of working under pressure.
- Strong numerical aptitude and excellent MS Office/PM tools proficiency.
- Ability to manage large workloads, meet tight deadlines, and maintain attention to detail.
