This role offers you the opportunity to work at the heart of a renowned financial institution, supporting senior management within both Global Markets Operations and Corporate Banking Operations. You will be instrumental in ensuring seamless coordination, communication, and delivery of business activities across the division. What you'll do:
- Provide high-quality administrative support to senior management teams within Global Markets Operations and Corporate Banking Operations by proactively managing diaries, inboxes, schedules, and meeting priorities.
- Serve as a trusted point of contact for administrative matters across the Operations division and wider stakeholders, handling complex queries with discretion and professionalism including highly sensitive or confidential information.
- Coordinate administration support for Governance or Committee meetings attended by Operations Management team members, ensuring all actions are monitored, tracked, and prepared for by due dates.
- Manage business travel schedules and itineraries for managers in Operations including briefings, agendas, booking arrangements for travel and entertainment requests while ensuring compliance with MUFG policies and cost controls.
- Process expenses resulting from travel or entertainment accurately and promptly according to company guidelines.
- Organise meetings with internal and external stakeholders by scheduling appointments, managing room bookings, technology setups (including video conferencing), and ordering catering as required.
- Provide logistical support for Operations events such as Town Halls or annual Regional Operations meetings in London by liaising with facilities teams, vendors/suppliers, stakeholders, and attendees to ensure smooth execution.
- Collaborate closely with the Business Management team or Culture Influencer Network to deliver on various division-wide initiatives or events that promote positive culture within Operations.
What you bring:
- Proven experience delivering proactive administrative support to multiple stakeholders in a PA or EA capacity within large organisations.
- Excellent interpersonal skills enabling you to collaborate effectively with individuals at all levels including senior stakeholders across EMEA regions and international locations such as Tokyo.
- Strong written and verbal communication abilities allowing you to handle complex queries professionally while maintaining discretion especially when dealing with sensitive information.
- Advanced proficiency in Outlook, PowerPoint, MS Word combined with strong analytical and numerical skills necessary for diary management, expense processing, report preparation.
- Ability to problem-solve efficiently while prioritising tasks under tight deadlines within a pressurised environment without compromising attention to detail or accuracy.
- Adaptability and flexibility demonstrated by willingness to suit evolving needs of the role including minimum three days in office per week as required by MUFG policies.
- Knowledge of regulated environments (preferably financial services) which enables you to navigate organisational complexity confidently while adhering strictly to compliance obligations.
