Role Summary
The role is part of the Cyber Portfolio function within EMEA Technology. It focuses on supporting the delivery and governance of the PJ Nexus program, the largest cybersecurity initiative across MUFG's EMEA operations. The position reports to the Head of Cyber Portfolio and works closely with head office teams, program leads, projects managers and governance bodies to ensure effective delivery, reporting and risk management.
Key Responsibilities
- Support the Portfolio Manager and Programme/Project Managers in planning, controlling, monitoring and organising the Nexus book of work, ensuring compliance with governance and reporting requirements.
- Own and drive Nexus programme and project reporting, including monthly reporting packs from Planview, minutes, and tailored management information.
- Review and critique deliverables against Head Office Nexus GPMO standards, providing structured feedback and facilitating delivery assurance checkpoints.
- Control submission of deliverables for Programme Committee and other reviews to avoid late or overdue requests.
- Manage the EMEA Nexus Governance Forum and related regular forums, aligning calendars across the region.
- Partner with PMOs and Project Governance teams to improve project, programme and portfolio governance, controls, methods and tools.
- Champion MUFG's toolsets and processes, influencing Programme and Project Managers to comply with standards.
- Manage project documentation, including storage, version control and deliverable reviews to ensure alignment with the project delivery lifecycle.
- Support financial and resource management: actuals and forecasts, invoice and requisition handling, financial contingencies and budget tracking.
- Produce meeting minutes, track actions and generate management information to report progress and status.
- Prepare status reports for governance forums, including RAID logs, dashboards, milestones and forecast analyses.
- Advise and escalate concerns regarding portfolio performance to the Portfolio Manager and HO GPMOs.
- Coordinate planning activities, including critical path analysis, milestone grading, detailed financial tracking and 'what‐if' impact analysis.
- Ensure projects are accurately tracked in Planview or other tools, with up‐to‐date resource and financial data reflected in reporting.
- Coordinate RAID management and recommend appropriate forums for escalation.
- Monitor benefits realization across projects, programmes and portfolios, holding sponsors and users accountable.
- Lead enhancements to project management standards, tools and methods aligned with the Central PMO's strategic direction.
- Provide flexible support across the portfolio to the Portfolio Manager and other stakeholders as needed.
Qualifications
- Minimum 8 years of proven experience in executive reporting and financial process delivery, including project cost categorisation and impact on financial reporting.
- Hands‐on experience with Planview (or similar PPM tool) and advanced proficiency in data extraction and manipulation using Excel.
- Experience with Oracle Financials or equivalent Payables module, and Power BI (or similar) for reporting.
- Expertise in Microsoft Office (PowerPoint, Word, Visio) and intermediate knowledge of SharePoint.
- Strong understanding of waterfall project delivery lifecycle, RAID log management, financials, resource management, and change control.
- Proven ability to define and implement project management frameworks, support steering committees and manage project baselines.
- Excellent written and verbal communication skills with a demonstrated ability to partner with senior management.
- Strong problem‐solving skills, proactive, results‐driven, and able to prioritise work in a fast‐paced environment.
- Solid numerical and analytical abilities.
Education / Certifications
- Formal project management training (e.g., Prince2 Foundation, PMI, APM) mandatory.
- A‐level education or equivalent is required; a degree or equivalent work experience is preferred.
