Mobile Testing Solutions Ltd (MTS) provides paper-based and digital examination services to a wide range of global clients across the UK and Ireland and also has an online language school specialising mainly in IELTS exam preparation courses. MTS is currently looking for a Facilities and Office Assistant.
Job Details:
- Full-Time (Mon - Fri, 9am - 5pm, 35-hour working week)
- Salary: £27,450 to £30,150 p.a. including London weighting. Starting salary will depend on experience in the sector and similar role, with progression within the band based on demonstrated skills and performance.
- Role type: Fixed term (12 months), with high likelihood of making permanent after the first year
- Location: On-site at our Head Office at 65 Westcroft Square, London, W6 0TA, and regular travel to support multiple venues under your responsibility in the UK and Republic of Ireland, as and when required.
- Eligibility: Must be eligible to work in the UK and own a valid driving licence

Main Responsibilities:
- Support the Facilities Manager with the day-to-day operation and maintenance of MTS venues and facilities
- Maintain and update facilities records and administrative documentation, including asset registers, inventory logs, key registers, maintenance logs, and contractor and supplier records
- Assist with basic building maintenance and handyman tasks, such as minor carpentry repairs, changing light/door fittings, refitting ceiling tiles, painting touch-ups, adjusting electrical fixtures, and other general handyman tasks
- Support the setup, movement, and arrangement of furniture, equipment, and deliveries across venues
- Monitor facilities supplies and consumables, ensuring materials required for site operations are adequately stocked
- Coordinate and schedule maintenance visits, contractor work, and site activities, ensuring records of works and services are maintained
- Assist in maintaining facilities compliance documentation, including Health & Safety records, risk assessments, COSHH documentation, asbestos awareness documentation, and fire safety documentation.
- Provide general administrative and operational support to the Facilities Manager as required
- Travel between MTS test venues as and when needed to support the day-to-day facilities operation (travel cost to be covered by MTS)
- Comply fully with MTS’s GDPR and data protection policies and standards and Safeguarding (Children and Vulnerable People) policy
Person Specification:
- GCSEs (or equivalent) including English and Mathematics
- Diploma in Facilities Management, Building Maintenance, Property Services or Health & Safety (desirable)
- Basic handyman or building maintenance knowledge and skills
- Basic understanding of workplace health and safety requirements
- Experience in administrative, operational or facilities roles, with relevant office support, facilities management or building maintenance skills
- Experience in maintaining records, logs, registers or database, especially health and safety documentation (e.g. COSHH, risk assessments, incident logs)
- Experience in liaising with contractors, suppliers or service providers (desirable)
- Good communication, interpersonal and relationship-building skills
- Customer centric
- Can Do attitude
- Excellent organisational and time management skills
- Excellent attention to detail
- Good working knowledge of Microsoft Office applications (Excel, Word, Outlook)
