You will be primarily based at Ealing Hospital and expected to work across sites if required. The Administration Coordinator is the first point of contact for patients and visitors referred or admitted to the Accident & Emergency Department or seeking information about patients in the main hospital. You will support the Administrative Services Manager in the day‑to‑day running of the administrative service, ensuring excellent customer service, accurate electronic admission and discharge of patients, and timely input of clinical data into the Cerner system.
Main Duties
- Work as part of a team.
- Work flexibly across both ED & UTC to optimise administration rotas.
- Provide and receive routine information with regard to patients requiring tact and discretion, using persuasive skills within Trust and Caldicott guidelines.
- Deal with enquiries from patients, medical staff and the general public.
- Maintain a professional telephone manner toward patients, relatives and other staff.
- Maintain the confidentiality of information about patients, staff and health service businesses in accordance with the Trust Confidentiality Policy and the Data Protection Act.
- Serve as the first point of contact for bereaved families and friends, requiring discretion, tact and compassion.
- Inform patients of the different care options.
- Communicate with clinical leads to transcribe medical notes for observation wards.
- Meet frequent concentration demands; the work is predictable in daily duties but the number of patients can vary throughout the day.
- Be exposed to distressing information regarding complex clinical conditions and treatments.

Essential Qualifications
- Minimum 2 years NHS experience or equivalent receptionist experience.
- GCSE (5 grades A‑C) or equivalent.
- Excellent time‑keeping and teamwork skills.
Desirable Qualifications
- Knowledge of medical terminology.
Knowledge and Experience
- Knowledge of the Data Protection Act.
- IT literate with good keyboard skills.
Desirable Experience
- Experience working within an Emergency Department or a high‑pressure clinical environment.
- Experience handling strict and tight deadlines.
- Experience using Cerner or similar IT systems.
