Responsibilities
- Project manage trade shows, events, and sponsorships to support MSA’s business goals and marketing strategy.
- Lead day‑to‑day management of trade show logistics, including:
- Coordinating planning meetings and developing timelines.
- Managing show/event vendor relationships with event organizers, hotels, convention centers, stand builders and organizations.
- Managing shipping and set‑up of booth properties and products.
- Managing corporate booth properties and products used for tradeshows.
- Selecting and coordinating efforts with vendors.
- Managing the Lead Retrieval System.
- Coordinating show registration for all MSA attendees.
- Booking hotel accommodations for MSA guests and attendees.
- Researching, selecting and overseeing production of promotional items, e.g. staff shirts, giveaways.
- Managing schedule, staffing and fielding questions.
- Communicating plans, updates and progress to the booth team and show attendees.
- Managing budget, including pre‑ and post‑show reports.
- Developing pre‑event training agendas for event workers, working cross‑functionally to create training content.
- Attends events as required to support event setup, execution and wrap‑up, acting as the main point of contact for all other MSA attendees.
- Assists with facility tours, as required, for key customer accounts or visits.
- Works with the Senior Regional MarCom Manager and Events Lead on the final EMEA events calendar.
- Supports coordination of final event, including promotional activities, to ensure they are completed correctly and on time.
- Coordinates MSA’s Branded Apparel and Promotional Items as needed by all departments.
- Vendor Management: works closely with suppliers to coordinate business needs, requests quotes, reviews pricing and ensures quality standards are met, and manages order timeline and shipping logistics.
- Brand Consistency: ensures merchandise follows brand guidelines, reviews and approves product mock‑ups and samples.
- Inventory Management: tracks stock levels of existing items, reorders when supplies are low, and coordinates fulfillment logistics.
- Budgets: provides reports and feedback on usage and inventory depletion.
- For large or custom apparel or promotional item orders, works with vendor partners on behalf of all MSA departments on proposals, product selections, design, and delivery.
Qualifications
Experience required:
- 3+ years of experience in marketing events, demonstrating strong project management and organizational skills across trade shows, virtual events, or event management experience across Europe.
- Excellent organization and multi‑tasking skills.
- Extremely deadline‑ and detail‑oriented and able to track, handle and maintain multiple projects at once.
- A self‑starter who takes charge and operates in a hands‑on manner.
- Ability to work within a fast‑paced team environment.
Experience Preferred:
- Ability to work with diverse personalities, backgrounds, and experience levels.
- Experience in marketing communications.
- Solid personal computer skills, including familiarity with Microsoft Office Suite, Adobe, and Marketo.
Education (required):
- Undergraduate BA/BS Degree in Event Planning, Hospitality, Marketing, Public Relations, Communications or equivalent experience.
