The Production Scheduler / Planner is responsible for developing, managing, and maintaining the short-, medium-, and long-term production schedules required to meet customer demand while maximising efficiency, capacity utilisation, and material availability. This role works closely with Production, Engineering, Procurement, Quality, and Sales to translate demand into executable production plans through effective use of the ERP system and planning parameters. The Scheduler ensures schedules are accurate, stable, and achievable, supports continuous improvement, and provides visibility of constraints, risks, and performance to the wider business. The role is critical in ensuring that production plans are aligned with material availability, labour capability, equipment capacity, and customer delivery commitments.

General Accountabilities

  • Production Planning & Schedule Management
    • Develop, maintain, and publish weekly and daily production schedules based on customer orders, forecasts, and material availability.
    • Use ERP (Epicor preferred) to create, release, and manage jobs, ensuring planning parameters, BOMs, and routings are accurate.
    • Adjust schedules proactively in response to shortages, engineering changes, breakdowns, or customer priority shifts.
    • Own the planning horizon, ensuring that scheduling decisions align with capacity constraints and sales commitments.
    • Maintain visibility of all WIP and highlight risks to on-time job starts or delivery.
    • Ensure planning data (lead times, lot sizes, resources, calendars) remains accurate and continuously improved.
    • Support medium–long-term capacity planning based on forecast demand and utilisation trends.
  • Material & Capacity Coordination
    • Collaborate with Procurement to ensure material availability aligns with planned build dates.
    • Highlight and escape shortages, long-lead risks, and supplier delays.
    • Analyse capacity loads by work centre, identifying bottlenecks and recommending solutions.
    • Provide production teams with clear job release priorities and material readiness status.
    • Support inventory accuracy through effective job scheduling, correct material demand signalling, and work order maintenance.
  • Schedule Adherence, Performance & Reporting
    • Track schedule adherence daily and weekly, analysing job start and completion performance.
    • Maintain dashboards for key planning KPIs (schedule adherence, plan stability, job start OTIF, expediting costs, load vs. capacity).
    • Conduct root cause analysis for missed schedules and drive corrective actions with Production and other functions.
    • Report planning performance into operational reviews with clear commentary on trends, risks, and required actions.
    • Contribute to SIOP processes by providing accurate planning inputs, constraints, and projections.
  • Cross-Functional Collaboration
    • Work with Engineering to manage deviations, ECOs, BOM changes, and routing updates that impact planning.
    • Partner with Production to agree feasible schedules that optimise flow, reduce WIP, and support right-first-time performance.
    • Support Quality by integrating inspection stages, test requirements, and quality alerts into schedules.
    • Liaise with Sales/Order Processing to provide accurate lead-time estimates and delivery commitments.
    • Support NPI/NPD scheduling requirements, including prototype and pilot build planning.
  • ERP Ownership & Data Integrity
    • Serve as a key user for planning functions in the ERP system.
    • Maintain planning parameters, resource groups, calendars, and job structures that influence capacity and schedule outcomes.
    • Work with IT/ERP teams on system improvements, testing, and new module rollouts.
    • Drive accuracy and consistency in master data to ensure reliable scheduling outputs.
  • Continuous Improvement & Lean Planning
    • Identify and lead improvements in planning processes, data accuracy, communication, and schedule stability.
    • Support initiatives to reduce expediting, overtime, and schedule disruptions.
    • Contribute to reducing cost of poor quality and improving yield through more stable production plans.
    • Promote lean practices (5S, standard work, visual management) in the scheduling and planning environment.
  • Additional Responsibilities
    • Support operational meetings, providing clear updates on constraints, risks, and required decisions.
    • Provide training to Production and other departments on planning processes and ERP usage where required.
    • Participate in audits, internal reviews, and cross-functional improvement events.
    • Perform any additional reasonable tasks to support operational and business objectives.
