About the Role
MPA Recruitment is currently seeking to recruit a Band 3 Medical Secretary to join the Unscheduled Care Department at Ulster Hospital.
The successful candidate will provide medical secretarial and administrative support to 8 Acute Medicine / Unscheduled Care Consultants, assisting with patient correspondence, outpatient appointments, clinic administration and general departmental duties.
This is an excellent opportunity for an experienced administrator or medical secretary who is organised, accurate and confident working within a busy healthcare environment.
Key Responsibilities
- Medical Secretarial Support
- Provide medical secretarial support to 8 Acute Medicine / Unscheduled Care Consultants.
- Produce results letters from consultants.
- Type dictated Renal Clinic letters accurately and efficiently.
- Sort and process incoming and outgoing mail for consultants.
- Receive and manage telephone calls and enquiries.
- Provide general administrative and secretarial support to the department.
- Patient & Clinic Administration
- Check recent patient discharges.
- Review and check follow-up plans for discharged patients.
- Book Renal Clinic new patient outpatient appointments.
- Book Renal Clinic review patient outpatient appointments.
- Print and process Renal Clinic appointment letters.
- Ensure patient and appointment information is accurately recorded and updated.
- Data & General Administration
- Maintain and update departmental spreadsheets.
- Ensure records and administrative information are kept accurate and up to date.
- Prioritise workload effectively and meet deadlines.
- Carry out other general administrative duties as required.
What We’re Looking for?
- Previous experience in a medical secretarial, healthcare administration, clerical or administrative role.
- Excellent organisational skills and attention to detail.
- Good written and verbal communication skills.
- Accurate typing and document preparation skills. Good IT skills, including experience using Microsoft Word, Excel and Outlook.
- Experience handling confidential and sensitive information.
- Ability to manage and prioritise a busy workload.
- Ability to work independently and as part of a team.
- Professional and courteous telephone manner.
- A flexible approach and willingness to learn new systems and processes.
