We are looking for a highly organised and detail-driven Contracts Administrator with experience supporting Facilities Management service delivery within live public-sector environments. Skilled in coordinating work orders, allocating contractors, monitoring KPIs and maintaining accurate records to ensure contractual compliance and timely delivery.
Experienced in administering term service contracts, including managing client portals, job status updates, invoicing, assessments and performance reporting, while maintaining clear communication with operatives, subcontractors and stakeholders. Proactive and adaptable, able to manage reactive and planned works simultaneously, prioritise workloads effectively and support business-as-usual operations in compliance-focused environments.
KEY DUTIES / RESPONSIBILITIES
- Control and manage Facilities Management switchboard
- Receive works order from Education Authority portal “Manhattan” and upload onto software system “Mobile Work Manager”
- Allocate works order to contractors
- Manage invoices and accounts
- Ensure KPI’s are met
- Generate weekly and monthly reports
- Collate job information from site operatives / supply chain
- Update work status on a daily basis
- Ensure monthly assessment submitted to client on time
- Any other tasks deemed suitable by management
Qualifications / Skills / Experience
- Minimum 5 GCSE's A-C including Math’s & English
- Excellent oral, written, and organisational skills are essential
- Minimum of 3 years’ relevant experience
- Enthusiastic and positive outlook
- Attention to Detail
