About the Role: MPA Recruitment is delighted to be working with a leading public sector client in Lisburn to recruit a Lead Administrator – Estates Contracts. The post holder will provide administration support to the Estates Contracts Manager and Officers in the procurement, administration of service and maintenance contracts.

Key Responsibilities:

  • Maintain accurate contract records, filing systems, and the Contracts Register, ensuring compliance with organisational procedures and procurement regulations.
  • Liaise with contractors regarding service and maintenance contracts, managing notifications, reviews, terminations, and contract‑related queries.
  • Prepare and support tender processes, including gathering historical data, drafting documentation, maintaining schedules, and collating tender evaluations and outcomes.
  • Ensure service contract equipment is linked to asset registers and kept up to date in collaboration with operational teams.
  • Provide administrative support for contract management activities, including assessments, compliance documentation, insurances, certificates, award letters, and terms and conditions.
  • Coordinate meetings, including Contract Advisory Group (CAG) and annual contract review meetings, arranging logistics, recording minutes, and distributing outcomes.
  • Review contractor payments for accuracy, escalating discrepancies, and support audits, compliance reporting, and annual contract performance reviews.
  • Monitor statutory compliance reports (e.g., LOLER), maintain databases, produce reports, and liaise with staff, contractors, and external stakeholders as required.
  • Promote organisational values by supporting effective teamwork, compliance with policies, health and safety, equality, records management, continuous professional development, environmental sustainability, and high standards of customer service.

What We’re Looking For:

  • NVQ3 or equivalent/higher qualification in Administration/Business related subject AND 2 years relevant post qualification experience.
  • Excellent administration experience.
  • Experience using Microsoft Office (Word, Excel, PowerPoint).
  • Excellent organisational and communication skills.
