The predicted salary is between 17 - 21 £ per hour.

Location: Dundonald

Hours: Flexible shift pattern – primarily night shifts (9:00pm – 8:00am). Applicants must be flexible to work days, evenings, weekends and public holidays where required.

Salary: £17.22-£21.55 depending on shifts

Contract: Temporary - Initially 3 months

About the Role:

This is an exciting opportunity to join a busy Emergency Department where you will be the first point of contact for patients, relatives and healthcare professionals. Working within a fast-paced and often demanding environment, you will provide high-quality reception and administrative support to the multidisciplinary team while ensuring patients receive a professional, efficient and compassionate service.

This role requires excellent communication skills, the ability to remain calm under pressure, and a commitment to maintaining patient confidentiality at all times.

Key Responsibilities:

  • Reception & Patient Administration
    • Welcome patients, relatives and visitors to the Emergency Department/Urgent Care Centre.
    • Register patients accurately using the Encompass Patient Administration System, ensuring demographic information is correct and up to date.
    • Book, amend and cancel appointments where required.
    • Monitor patients arriving in the department and escalate concerns to clinical staff in line with departmental procedures.
    • Inform patients of waiting times and provide excellent customer service throughout their visit.
  • Administrative Support
    • Scan and upload patient documentation to electronic records.
    • Maintain accurate electronic and manual filing systems.
    • Process clinic lists and prepare associated documentation.
    • Manage incoming and outgoing correspondence, including emails and post.
    • Complete travel expense forms and other patient-related documentation where required.
    • Use Microsoft Office applications including Word, Excel and Outlook.
  • Communication & Customer Service
    • Respond to telephone and face-to-face enquiries from patients, relatives, GPs and healthcare professionals.
    • Assist patients, including elderly or vulnerable individuals, arranging transport where required.
    • Liaise effectively with multidisciplinary teams, external agencies and hospital departments.
    • Deal sensitively and professionally with distressed, anxious or challenging individuals.
  • General Duties
    • Monitor reception systems and report IT or equipment faults.
    • Maintain stock levels within the department.
    • Participate in staff training, mandatory training and departmental meetings.
    • Support continuous service improvement and adhere to GDPR, Trust policies and confidentiality requirements.

What We’re Looking for?

Essential Criteria:

  • Applicants must meet one of the following:
    • 4 GCSEs (Grades A-C), including English Language and Maths (or equivalent), plus 1 year's experience in a public-facing administrative or clerical role.
    • OR 2 years' experience in a public-facing administrative or clerical role.
  • Applicants must also have:
    • At least 1 year's word processing experience.
    • Experience using Microsoft Word, Excel and Outlook.
    • Excellent communication and organisational skills.
    • Ability to prioritise workload in a busy environment.
    • Ability to work independently and as part of a team.
    • Ability to deal with sensitive and confidential information appropriately.
    • Knowledge of GDPR principles.

Desirable

  • Previous experience working within an Emergency Department or Urgent Care setting.
  • Experience using the Encompass Patient Record System.

An Access NI Check may be required for this role.
