About the Role
On behalf of our client, the Northern Ireland Fire & Rescue Service (NIFRS), MPA Recruitment is seeking to appoint a Business Support Services Administrator to join the Operational Guidance & Policy (OGP) Unit based at NIFRS Headquarters in Lisburn.
This is an excellent opportunity for an experienced administrator to join a busy professional team, providing essential business and administrative support across operational guidance, policy and governance activities.
The successful candidate will be organised, confident using Microsoft Office and able to manage a varied workload while working effectively with colleagues across the organisation.
Key Responsibilities
- Business & Administrative Support
- Provide professional and efficient administrative support to the Operational Guidance & Policy team.
- Monitor and manage the Operational Guidance inbox, coordinating queries, feedback and updates.
- Assist with the preparation and formatting of reports, documents and presentations in line with NIFRS branding and corporate standards.
- Maintain and update information systems, databases and spreadsheets.
- Assist with diary management, meeting arrangements and routine team check-ins.
- Prepare meeting documentation, take minutes and follow up on agreed actions.
- Support the production of Board reports, dashboards and other management information.
- Assist with research, data gathering and general administrative projects as required.
- Team & Stakeholder Support
- Work collaboratively as an embedded member of the Operational Guidance team.
- Liaise with colleagues and stakeholders to obtain information and ensure actions are completed within agreed timescales.
- Support the wider Corporate Governance & Improvement Directorate with general business support duties as required.
- Maintain accurate and confidential records in accordance with NIFRS policies and information governance requirements.
What We’re Looking for?
Essential Criteria
- At least 5 GCSEs at Grade C or above (or equivalent), including English and Maths.
- At least 2 years’ experience working in a demanding office environment, carrying out a range of business support duties, including scheduling and administrative support for meetings.
- Working knowledge of Microsoft Word, Excel and Outlook.
- Excellent planning and organisational skills with strong attention to detail.
- Ability to prioritise workloads and meet deadlines.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Ability to produce accurate and timely information.
- Strong customer service skills.
Desirable
- Experience of taking and producing meeting minutes and action plans.
- Experience working within a busy switchboard/reception environment.
- Previous experience within local government or the public sector.
- Experience using Power Point and producing professional presentations.
