MPA Recruitment, on behalf of our public sector client, is seeking a Band 4 Administrative Support Officer to provide high-level administrative and business support. Accountable to the Health Minister, the SPPG plans and designs a range of health and social care services that deliver high quality and safe outcomes for patients and service users, are good value for the taxpayer, and comply with statutory duties.

Location: Belfast

Hours: 37.5 hours per week

Salary: £14.06 per hour

KEY DUTIES / RESPONSIBILITIES

  • To be responsible for ensuring all staff training within the team is fully completed.
  • To hold responsibility for ensuring adherence to the relevant information governance procedures and policies.
  • To be responsible for the development, input management and maintenance of the databases for revenue and capital business cases.
  • To liaise with the Co-Director and Senior Managers in relation to the delegation of any requests for information received from the Department of Health or Northern Ireland Assembly and to ensure that responses required are reviewed and submitted within the agreed timeline.
  • To establish and maintain effective communication systems within the team and other directorates both internal and external.
  • To develop, organise, manage and maintain secure filing systems both manually and electronically in line with Good Management/Good Records guidelines and office standards.
  • To provide high level support as required to working groups and to provide staff cover in the event of absences.
  • To plan and co-ordinate conferences, workshops and events involving liaison with a wide range of stakeholders such as service users and carers and national experts (preparing agendas, arranging appropriate venue, coordinating travel arrangements, hospitality and resources), project support.

ESSENTIAL CRITERIA

  • 1a) 5 GCSE's including Maths and English (grades A-C) or equivalent and 18 months experience in a relevant admin/clerical role OR 1b) 3 years relevant experience in an admin/clerical role. Relevant experience refers to office-based experience; arranging meetings, providing support to working groups and maintaining a diary for a manager.
  • 2) 2 years' experience in high level word processing (report writing, spreadsheet maintenance etc.). Have an excellent working knowledge of Microsoft PowerPoint, Word, Excel and Outlook.
  • Excellent interpersonal skills - ability to communicate fluently and effectively both writing and orally with other agencies, members of staff and all grades of staff.
  • Ability to work efficiently and effectively under pressure.
  • Ability to work as part of a team and to use own initiative.
  • Good organisation and time management skills with the ability to plan and organise work to deliver high quality work within tight timescales.
  • Self-motivated and willing to accept responsibility.
  • Ability to understand and analyse problems and devise practical and creative solutions.
  • Have a responsible attitude to dealing with sensitive and confidential information.
  • Knowledge of the HSC and of the role of the SPPG as a commissioner of care.

Candidates should identify experience in at least 2 of the following areas:

  • Previous experience updating and maintaining both electronic and manual filing systems.
  • Previous experience providing project support.
  • Previous experience supporting formal meetings, including demonstrable experience of minute taking.
  • Experience drafting documentation or correspondence for issue.
