The Production Assistant supports the Production Manager across product development and bulk production, ensuring information is accurate, timelines are met, and communication between internal teams and external suppliers is clear and organised. This role is hands-on, detail-focused, and central to keeping collections moving smoothly from design to delivery.

Key Responsibilities

  • Product Development
  • Support the transition from design to development, ensuring design details are clearly communicated to factories, pattern cutters, and seamstresses.
  • Assist with product costings; track raw material and garment prices and help maintain visibility on all costs prior to production launch.
  • Support pattern management and coordinate pattern updates across teams.
  • Input raw material information into tech packs, ensuring alignment with Zedonk.
  • Source and organise fabrics, trims, and samples; maintain fabric/trim libraries and supplier records.
  • Prepare fitting note sheets, attend fittings, capture detailed notes, and annotate images post-fitting for clear communication with factories and pattern cutters.
  • Support with overseeing interns and help delegate tasks when required to ensure smooth workflow.
  • Production
    • Maintain daily correspondence with mills, factories, and suppliers; follow up on orders and flag any issues to the Production Manager.
    • Keep production and development trackers/overviews updated as changes occur (styles, quantities, delivery dates).
    • Enter and track data in Zedonk for raw materials, trims, components, and purchase orders.
    • Raise POs for materials, samples, and bulk orders as directed by the Production Manager.
    • Assist with arranging and attending factory visits when needed to launch protos, attend PPS fittings, and follow up on production.
    • Organise product barcoding, labelling, packaging, and external quality control where required.
    • Check measurement charts against size specs with the Production Manager before sign-off for bulk.
    • Support scheduling, cost tracking, stock management, logistics, and delivery coordination.
    • Ensure key WhatsApp and informal communications are transferred into structured email threads and internal records per supplier/mill/contact.
    • Participate in cancellation meetings post-sales to support style viability assessments according to order volumes.
  • Cross-Department Support
    • Work closely with design, sales, e-commerce, and logistics to ensure alignment on priorities, timelines, and product information.
    • Maintain organised databases and filing systems for samples, fabrics, suppliers, and cost sheets.

    Skills & Experience

    • ~1–2 years’ experience in a production, product development, or similar role within fashion (internships included).
    • ~ Understanding of garment construction, fabrics, trims, and production processes.
    • ~ Strong organisational skills and attention to detail; able to manage multiple tasks across styles and seasons.
    • ~ Confident communicator, both written and verbal, with experience liaising with suppliers or factories (preferred).
    • ~ Comfortable working with Excel/Google Sheets; experience with Zedonk or similar systems is a plus.
    • ~ Numerate and comfortable working with costings and quantities.
