This is an exciting opportunity to join Moving Venue, part of Smart Group, a rapidly growing, privately owned group of hospitality, catering and event management businesses and brands. The candidate will be a key member of the people team, assisting and reporting to the Group People Manager with a dotted line to the Head of People. The candidate will be required to ensure that Moving Venue continues to operate its events to an ‘industry leading’ standard.
STAFFING DUTIES- Provide event personnel with clear and concise access to information regarding booking, confirmation and cancellation procedures, venue information and start and end timings of events.
- Where required, attend events to manage event personnel and staffing areas: signing in and out, rest areas, meals on duty where required.
- Reconcile labour to event budgets.
- Approve and sign off agency invoices.
- Maintain the standards required of the staffing operation and event personnel.
- Work with agencies to incentivise staff and ensure we build a core team across both brands.
- Maintain day to day relationship with our staffing agencies, ensuring that the Group's events are sufficiently resourced and that the staff attending our events are engaged and meet the highest possible standards of skills and presentation.
- Help implement staffing strategies which consider short-term and long-term staff requirements in terms of numbers and skill levels, identifying busy periods and plan accordingly.
- Ensure that staff uniforms are laundered and kept in good repair, stored correctly and audited each quarter.
- Order staff food for events.
- Compile and send across personnel lists for venues within timeframes given.
- Ensure timely distribution of all timesheets pre-event and send to Event Managers.
- Attend key events to assess and monitor event personnel performance.
- Updating and maintaining staff records, ensuring tax, banking and RTW documentations is up to date and compliant.
- Prepare cost centre report to be uploaded onto HR management software.
