We are looking to recruit a flexible, self-motivated and hardworking person to join our busy administration department. To undertake a range of administrative duties for the Practice Team. To work in accordance with written protocols and procedures to ensure accuracy and compliance. To build productive relationships with all work colleagues and other key external personnel.

Main duties of the job:

  • Looking for someone to work Wednesday - Friday 8am - 5pm.
  • To undertake administrative and secretarial duties for the Practice Team.

Job responsibilities:

  • Undertake the following administrative tasks in conjunction with the other members of the administration team:
  • Daily maintenance and processing of computer links/tasks/transactions with applicable Registration Department and Hospitals.
  • Producing the doctors rota, entering onto the computer, and producing the weekly room rota.
  • Support in producing non-clinical staff rotas.
  • Deal with computer problems as they arise, including printer and cartridge problems.
  • Keep a log of queries and a log of the printer status on each computer.
  • Keep a log of IT queries referred to the helpdesk.
  • Maternity Service administration.
  • Patient registrations, Temporary Residents, Immediate and Necessary Changes of address Deductions.
  • Processing electronic correspondence i.e. OOH reports and hospital correspondence and other SystemOne tasks.
  • Vaccinations and immunisation administration.
  • Stationery and prescription ordering.
  • Cervical cytology administration including prior notification lists, quarterly targets and audits.
  • Taking telephone calls and answering queries.
  • Process Anima online requests.
  • Taking daily post to the Post Office at the end of the day on a rota basis.
  • Requesting of notes from off-site storage as necessary.
  • Processing incoming and outgoing internal mail bag and distributing mail etc as required.
  • Setting up and administration of clinics (i.e. asthma, diabetic, flu) including sending out appointment letters to patients.
  • Typing and administration of private work i.e. medical reports, solicitors requests. To include invoicing, reconciling paid invoices and chasing unpaid invoices.
  • Chasing hospital appointments and obtaining urgent appointments when required.
  • Undertake scanning of letters and reports onto patient notes when required in conjunction with other members of the administration and reception teams when required.
  • Read coding of incoming correspondence and summarising of new patient notes onto the clinical system in a timely manner and according to practice protocols.
  • Provide administrative support to the Practice Nurses during childhood vaccination clinics.
  • Provide annual leave and sickness cover to other members of the Administration Team.
  • Provide Medical Secretarial cover if there are staff absences.
  • Provide administrative support to both adult and children safeguarding, patient discharged from secondary care, research, GP training programme, PAC meetings.
  • Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels.
