A fantastic opportunity has arisen with Pentagon Motor Group for a positive and enthusiastic Vehicle Deliver Coordinator to join our amazing West Hallam based fleet team

Role Overview

The Fleet Vehicle Delivery Coordinator is essential to the smooth delivery of customer vehicles. Responsible for effectively planning driven or transported deliveries to customers, overseeing return vehicles and dealing with queries, supporting the Pentagon Group's reputation for excellence.

Main Purpose of the Role

• Schedule and coordinate transported and driven deliveries to ensure efficient and timely delivery operations.
• Book and manage all movements, ensuring routes, timings, and resources are accurately planned and communicated.
• Oversee driver administration including expense submissions, approvals, and reconciliation in line with company policies.
• Oversee the return process for vehicles, ensuring accurate tracking, condition checks, and correct system updates.
• Act as a key point of contact for delivery-related issues, proactively resolving problems and escalating where necessary.
• Liaise closely with sales teams, customers, and internal departments to ensure delivery requirements are met and expectations are managed.
• Monitor delivery schedules and adjust plans in response to changes, delays, or operational requirements.
• Ensure all delivery documentation, records, and system entries are accurate and completed in a timely manner.
• Support compliance with transport regulations, company procedures, and health & safety standards.
• Coordinate effectively with drivers, transport providers, and internal teams to ensure smooth delivery execution.
• Maintain clear communication across all stakeholders to ensure visibility of delivery status and progress.
• Support the digitalisation of delivery processes by using systems and digital tools to improve planning accuracy, vehicle tracking, communication, and workflow visibility.
• Assist with the implementation of new digital processes, ensuring accurate adoption, user feedback, and effective communication with relevant teams.
• Contribute to continuous improvement of delivery planning, efficiency, and customer experience.

Working hours for this role are – Monday to Friday 08:00 - 17:00

The ideal candidate will:

• Hold a full clean, valid UK driving license (Manual) with no more than 6 points
• Be a reliable team player who is able to work with no supervision
• Demonstrate a high level of self-motivation and be well organised.
• Have an ability to demonstrate a ‘right first time’ attitude.
• Be comfortable and confident with cash handling
• Be committed to delivering outstanding customer service.
