About the business unit Mott MacDonald’s Advisory and Programme Delivery (APD) unit delivers both project, programme & commercial management (PPCM) services and advisory solutions across the built environment, defence, energy, water, environmental, transportation, health and care sectors. Overview of the role The Document Controller will be responsible for covering all standard document control activities, including:

  • Establishing, maintaining, and operating the project document control system in line with agreed procedures
  • Registering, distributing, issuing, and tracking project documentation (incoming and outgoing)
  • Ensuring all documents are correctly numbered, version controlled, approved, and archived
  • Managing document workflows, including reviews, approvals, and transmittals
  • Maintaining accurate document registers, logs, and audit trails
  • Coordinating with engineers, project managers, suppliers, and client representatives to ensure timely document submissions
  • Supporting document handover and close out activities
  • Ensuring compliance with project, quality, and information management standards
  • Responding to document related queries and supporting audits or reviews

The Document Controller is expected to demonstrate the following:

  • Typically, 2–5 years’ experience in a Document Control role within an engineering, construction, infrastructure, energy, or consultancy environment
  • Experience working on live projects with defined document control procedures and deadlines
  • Able to work independently on day to day document control activities
  • Understands when to elevate issues beyond own authority and applies procedures consistently with minimal supervision
  • Good understanding of document lifecycles, revision control, and audit requirements
  • Awareness of ISO aligned quality management principles (e.g. ISO 9001)
  • Understanding of contractual document numbering, transmittals, and status codes
  • High level of attention to detail and accuracy
  • Strong organisational and time‑management skills
  • Clear written and verbal communication skills
  • Ability to manage multiple priorities and deadlines
  • Methodical, process‑driven approach to work
  • Confident working with systems and data
  • Professional, reliable, and collaborative working style

The postholder should have hands‑on experience with one or more of the following (or equivalent systems):

  • Common Data Environments (CDEs) such as:
    • Aconex
    • Asite
    • Viewpoint for Projects (4Projects)
    • Bentley ProjectWise
    • Autodesk Construction Cloud / BIM 360
    • SharePoint (structured libraries and metadata)

Office & Supporting Tools

  • Microsoft Excel (document registers, trackers, basic formulas)
  • Microsoft Outlook (workflow coordination, formal correspondence)
  • Microsoft Word and PDF editing tools (e.g. Adobe Acrobat)

Experience with BIM‑enabled or design‑led environment
