Overview of the role
You will be an ambassador for Mott MacDonald as the first person our clients and visitors will meet. With a professional, warm and welcoming personality you will be focused on ensuring everyone enjoys a great experience when attending our premises. This office-based, part-time role (15 hours, Thursday & Friday) reports directly to the Bristol Office Manager and includes the following responsibilities:
- Be the key point of focus for all office-related matters
- Meet and greet all visitors, ensuring a welcoming and safe environment is always maintained
- Securely handle calls, post, orders (e.g., PPE & stationery) and general enquiries
- Communicate local office inductions, emergency arrangements and first aid procedures
- Ensure workstations and meeting rooms are set up correctly, with all AV equipment in working order, including troubleshooting when required
- Maintain catering supplies for the office
- Assist the Office Manager with any H&S tasks as needed
- Act as an appointed first-aider and emergency warden; coordinate emergency wardens and first-aid cover
- Serve as the first point of contact for maintenance or cleaning issues, logging them promptly
- Keep the office clean & tidy, complying with the clear desk policy
- Undertake monthly office inspections
- Coordinate car parking and visitor parking arrangements
Candidate specification
Applicants will be responsible for compliance with all mandatory procedures under Mott MacDonald’s Business Management System, including health, safety, security, information security and office environmental management.
