The Sporting department at Motorsport UK plays a key role in facilitating a safe, fair, and fun experience for the motorsport community. This involves ensuring the governance and regulations of the sport are relevant and suitable, as well as reviewing the current landscape of participation, with a view to encouraging greater and sustained enjoyment.
The Sporting Assistant will play a key role in supporting the day-to-day functioning of the Sporting department, placing a particular emphasis on supporting the Circuit-Sport disciplines and specifically assisting with the successful management of Circuit Racing and the Speed Event Disciplines. The team constantly measures the governance of the sport with a view to protecting fairness and safety of all participants. Sporting is proactive in reviewing, revising, and developing the current landscape of participation, with a view to encouraging greater and sustained enjoyment. The Team works with Safety and Sporting colleagues ensuring regulations are relevant, justifiable, and cost effective with a focus on development of discipline strategies.
Professional administration and support to the wider community, including a high-quality network of support to Clubs and Organisers, is essential to the long-term sustainability of the sport.
Providing administrative, logistical, and organisational support to the Circuit-Sport Disciplines of the Sporting department.
- To provide first class support to the Head of Race & Speed and the Sporting Managers (Speed).
- The job content comprises administrative duties of a varied nature in support of the Organisation.
- Developing, standardising, and documenting administrative, logistical, and organisational processes utilised in support of the Circuit-Sport disciplines.
- Providing excellent customer service to licence holders, motorsport clubs, and the public as appropriate.
In addition to the primary objectives listed above, the Sporting Assistant will be responsible for:
- Liaising with members of the Motorsport UK community via various communication channels (inc. emails, telephone, letters) to ensure their needs and requirements are met.
- Including monitoring and responding to queries posted to the Race and Speed mailboxes.
- Dealing with correspondence and general telephone queries.
- Assisting with arrangements and preparations for Committee meetings including preparation of agendas and other associated paperwork, room reservations and diary appointments, meeting attendance for the purposes of producing minutes and regulatory proposals.
- Booking flights and accommodation in support of the Head of Race & Speed.
- Assisting with the administration of the annual renewal process for Championships and Race Series. Administrative responsibility for the management of Championship Bulletin requests.
- Reviewing feedback received from Stewards reports and other reporting channels, ensuring actions are allocated to appropriate internal resources and that resolutions are provided in a timely manner, while also compiling licence penalties for statistical analysis.
- Liaise with international motorsport governing bodies to support collaboration and alignment on regulatory matters.
- Attending events with the Sporting Manager (Speed) and Head of Race & Speed (some weekend work may be required).
- Maintaining databases and records, issuing training documentation, and allocating mentors for new Clerks of Course in a timely manner.
- Support international series and national championship activities, including overseas visits where required.
- Assist with the administration of Land Speed Record attempts, ensuring processes are followed accurately.
- Maintain up-to-date team workload trackers and action logs, ensuring tasks are progressed, completed, or reassigned effectively in collaboration with the Circuit Sport Team and through meeting coordination.
- Provide administrative and operational support across additional projects or areas as required.
Excellent communication skills, both written and verbal, including telephone manners.
Disciplined time management and organisational skills, with an ability to evidence logical prioritisation of work.
A flexible, collaborative approach to problem solving.
Foundational software skills / experience, including Microsoft Suite, Adobe, Collaborative platforms (SharePoint, Google, similar).
Research and planning skills.
The ability to travel to and from the Motorsport UK offices in Bicester, Oxfordshire.
Ideally 2+ years’ experience (either working or competing) and knowledge of the Circuit-Sport disciplines, as well as a passion for motorsport in general.
Familiarity with the governance structure of International Motorsport (FIA Sporting Codes), of UK Motorsport and the Motorsport UK National Competition Rules.
