As Hospitality & Events Manager, you will lead the end to end delivery of bespoke guest experiences at Formula 1 races, bringing Williams F1 partnerships to life on the global stage. Working closely with Partners and Partner Managers, you will translate commercial objectives into seamless, premium programmes that reflect the precision and prestige of the Williams brand. The role will be responsible for programme proposal, planning, execution, and on-site delivery, acting as the primary point of contact for partners while ensuring exceptional attention to detail, strong supplier management, and robust budget control.
As a Hospitality & Events Manager, you will be responsible for the organisation and delivery of end-to-end guest management programmes for allocated races. This includes, but is not limited to:
- Guest Programme Planning & Delivery
- Work closely with Partners and Partner Managers to establish objectives and requirements for each race.
- Develop comprehensive guest programme proposals for internal approval, aligned to partner objectives and budgets.
- Own the end-to-end guest journey for allocated races, from pre-event planning through to post-event delivery.
- Utilise guest registration portals to gather guest data, manage guest communications, and produce personalised itineraries.
- Maintain and update guest itineraries in real time throughout the race weekend to reflect schedule changes.
- Act as the primary point of contact for partners regarding guest programme delivery.
- Travel, Accommodation & Logistics
- Source and manage accommodation solutions for guest programmes.
- Manage hotel rooming lists, guest lists, and on-site guest requirements.
- Work with suppliers to procure and manage in-country transport, including airport transfers, circuit transport, dinners, and events.
- Coordinate complex travel and logistics schedules to ensure a seamless guest experience.
- Events, Dining & Activations
- Source and book dinner reservations and venues in line with partner briefs and guest profiles.
- Work with partners to plan and deliver bespoke dinners and events, including creative concepts, logistics, and execution.
- Liaise with internal teams and external suppliers to ensure all activations meet brand and quality standards.
- Procure custom gifting in line with partner objectives, managing production, freight, and delivery timelines.
- Supplier & Budget Management
- Manage relationships with key suppliers, ensuring service delivery meets agreed standards.
- Track programme budgets accurately, ensuring all activity is delivered within approved budgets.
- Maintain clear financial tracking and ensure compliance with Williams financial processes.
- On-Site Delivery
- Attend allocated races and manage the full guest programme on site.
- Oversee suppliers, transport providers, hotels, and venues on site.
- Deliver high-touch guest hosting, ensuring a premium and seamless experience.
- Resolve issues proactively and calmly in a fast-paced, high-pressure environment.
- Team Management & Collaboration
- Line manage a direct report, providing clear direction, support, and development.
- Work closely with the wider Hospitality & Events team to ensure alignment across programmes.
- Collaborate with internal stakeholders across Partnerships, Marketing, Operations, and Finance.
Key Accountabilities
- Deliver end-to-end guest management programmes to the highest standard.
- Maintain exceptional levels of accuracy, organisation, and attention to detail.
- Manage budgets responsibly and in compliance with Williams processes.
- Act as a professional, confident, and trusted ambassador for Williams at all times.
- Ensure understanding of and compliance with health and safety obligations.
- Work in line with Williams Values & Behaviours, encouraging others to do the same.
- Identify opportunities for continuous improvement in guest experience delivery.
Qualifications
- Proven experience in hospitality, events, guest management, or travel management.
- Experience delivering complex, high-touch guest programmes.
- Experience managing budgets and working within defined processes.
- Second language advantageous but not essential.
