We are looking for a Receptionist to join our Facilities Management team at Formula 1's London office, on a 12 month fixed term contract. Reporting into our Front of House Supervisor, this role will support the provision of professional Receptionist and associated services.
Main Duties and Responsibilities:
- Provide a professional Reception service ensuring courteous and warm welcoming of visitors and staff.
- Manage and oversee visitor, employee and contractor access passes to the F1 HQ (SJM) in line with internal policies.
- Ensure incoming calls are answered professionally, promptly and with discretion.
- Ensure incoming emails are answered appropriately and promptly, and any issues escalated to Front of House Supervisor (FS).
- Support and assist (FS) with ad-hoc requests made by Senior Stakeholders, ensuring seamless service delivery.
- Make meeting and room bookings and manage calendar, liaising with staff about changes and guests.
- Support FS with Catering and VIP meeting room and event Set-Up.
- Support with incoming and out-going post including making DHL, Addison Lee and Royal Mail bookings.
- Support FS with timely creation of Purchase Order Requests and subsequent acceptance of Purchase Orders on company ‘Purchase to Pay’ (P2P) system.
- Make taxi bookings as requested and ensure records are kept up to date.
- Report building or cleaning issues to facilities team.
- Support and assist FS with the management of catering and stationery together with associated stock control.
- Liaise with on-site cleaners and other service providers as required.
- Support and assist FS with departmental administration including credit card and petty cash reconciliation.
- Report all incidents, accidents and significant near misses to Health & Safety.
- Distribute Race Passes and uniform prior to Race Weekends.
- Develop and maintain great working relationships with key stakeholders.
- Act as a Fire Warden.
- Support CEO office with VIP ala carte service for the CEO and his guest as and when required.
- Support CEO office with Ad Hoc activities, including administration, post and courier queries and bookings.
- To work in compliance with our discretion, Security & Access Control Procedures and etiquette standards.
What Are We Looking For?
Experience:
- Excellent administration skills
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams)
- Document formatting and editing
- Experience in Corporate Hospitality Logistics coordination would be desirable, but not essential
Qualifications:
