The HQ Stock Control Administrator supports the day‑to‑day vehicle stock control and supplier recharge processes, ensuring accuracy and consistency across key operational activities. This includes maintaining accurate records, supporting vehicle damage assessments, tracking refurbishment activity, assisting with the purchasing of parts and items, updating systems, and carrying out vehicle readiness checks. Working closely with internal teams and external suppliers, the role acts as a key coordination point to support issue resolution and information flow, helping keep processes running smoothly across the business.

Responsibilities

  • Complete vehicle damage assessments and support the recharge process in line with agreed procedures
  • Review refurb reports to ensure all actions, updates and costs are accurately recorded and processed
  • Assist with purchasing vehicle parts, keys and general items as required
  • Track, log and manage vehicle Bookpack items and support the administration of all associated vehicle documentation
  • Coordinate the posting of vehicle documentation to our stores
  • Monitor central requests, including handling related queries and calls
  • Support monthly reporting activities and maintain accurate administrative records
  • Assist other stock control teams during peak periods to support wider operational demands
  • Conduct key audits (part audits, SD card audits), manage an exception report, scan documents and maintain accurate, up‑to‑date records; investigate and resolve discrepancies
  • Support procurement and supplier management activities: ordering missing items, sourcing cost‑effective replacement parts, recharging back to suppliers, and maintaining regular supplier contact for issue resolution, updates, and report preparation
  • Support the department in meeting customer service (Net Promoter Score – NPS) targets
  • Collaborate with broader Supply Chain operations to ensure efficient coordination and high standards of customer service
  • Show flexibility by assisting with additional tasks and responsibilities within the department as required

Qualifications

  • Experience in customer service is a benefit but not essential
  • Strong organisational and communication skills
  • Ability to manage multiple tasks and deadlines efficiently
  • Problem‑solving skills, with a focus on delivering prompt solutions
  • Proactive, positive attitude with a commitment to maintaining high standards of customer service
