The HQ Stock Control Administrator supports the day‑to‑day vehicle stock control and supplier recharge processes, helping to ensure accuracy and consistency across key operational activities. This includes maintaining accurate records and documentation, supporting vehicle damage assessments, tracking refurbishment activity, assisting with the purchasing of parts and items, updating systems and carrying out vehicle readiness checks. Working closely with internal teams and external suppliers, the role acts as a key coordination point to support issue resolution and information flow. You will play an important part in ensuring data is accurate, up to date and shared effectively, helping to keep processes running smoothly across the business.
What will you be getting up to?
- Complete vehicle damage assessments and support the recharge process in line with agreed procedures
- Review refurb reports to ensure all actions, updates and costs are accurately recorded and processed
- Assist with purchasing vehicle parts, keys and general items as required
- Track, log and manage vehicle Bookpack items and support the administration of all associated vehicle documentation
- Coordinate the posting of vehicle documentation to our stores
- Monitor central requests, including handling related queries and calls
- Support monthly reporting activities and maintain accurate administrative records
- Assist other stock control teams during peak periods to support wider operational demands
Inventory & Audit Control
These include conducting key audits, part audits and SD card audits, managing an exception report, scanning documents and maintaining accurate and up-to-date records. The role will ensure discrepancies are investigated and resolved.
Supplier Management
The role also supports procurement and supplier management activities, including ordering missing items, as well as sourcing cost-effective replacement parts and recharging back to our suppliers. Regular supplier contact is required to resolve issues, obtain updates and prepare supplier reports.
Performance and Feedback
Support the department in meeting customer service (Net Promoter Score - NPS) targets.
Collaboration
The role will also involve supporting broader Supply Chain operations to ensure efficient coordination and high standards of customer service.
Flexibility and Support
Be prepared to assist with additional tasks and responsibilities within the department as required, demonstrating flexibility and the ability to support other functions when needed.
