About the role:

Hours: Full-Time

The Project Coordinator provides operational and administrative support to Motive Certification and Inspection to ensure a smooth transition and running of active jobs. It is responsible for planning, coordinating, and delivering certification and inspection projects in accordance with applicable standards, regulatory requirements, and client requirements. The Project Coordinator has a crucial role in ensuring the success of projects by coordinating with various departments and subcontractors. The cross-functional collaboration is essential for meeting deadlines and maintaining efficiency. The role ensures projects are executed on time, within scope and budget, while maintaining technical integrity and quality. This position acts as the point of contact for clients, certification bodies, inspectors, and internal technical teams, overseeing the full project lifecycle from application and planning through inspection, testing, reporting, and final certification. The Project Coordinator ensures compliance with accreditation requirements, manages risks and changes, and drives continuous improvement in project delivery processes.

About the team:

As a part of our Certification & Inspection team, you’ll become part of a small, hardworking, and skilled team who are used to working collaboratively and to high standards. You will be supported by our Operations team lead and Operations teams in Kintore, who care deeply about what they do and the impact they have on the services we provide. And you’ll be working alongside a committed and proud Motive team in the UK and globally that want to play their part in the growth of the business and support each other daily to create a positive, values driven and hard-working professional environment.

Responsibilities:

  • Adopt and promote the Motive Offshore Group People Values and ensuring their use is embedded throughout.
  • Liaising and supporting different departments as needed.
  • Allocate resources effectively to ensure project success.
  • Lead and motivate project teams to achieve project objectives.
  • Define project scope, goals, and deliverables in collaboration with stakeholders.
  • Prepare and present project reports to stakeholders and senior management.
  • Lead and contribute to meetings, workshops, and discussions as needed.
  • Liaise with Personnel Coordinator to ensure that all jobs are manned with correct personnel.

Planet:

  • Adhere to and participate in company-wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives.
  • Ensure compliance with relevant laws, regulations, and ethical standards.
  • Responsible for ensuring that project activities comply with all relevant Health, Safety, Environmental, and Quality (HSEQ) processes, procedures, and regulatory requirements.
  • Identify and manage project risks and develop appropriate mitigation strategies.

Product:

  • Ensure smooth running of day-to-day operations.
  • Maintain server-based job files and ensure relevant information is stored as per procedures.
  • Update costing sheets daily as per daily reports received by engineers.
  • Support the Sales team when required, to quote for all types of jobs, i.e. supply, inspection, rope access, spooling equipment etc.
  • Liaise with client and/or third parties as required.
  • Liaise with procurement team to ensure purchase orders are raised and issued to suppliers.
  • Complete revenue sheets and submit to Finance for invoicing in a timely manner.
  • Liaise with logistics personnel to arrange transport of goods as required.
  • Log and maintain all enquiries and orders within the Motive Salesforce system.
  • Support the Sales team in ensuring that proposals and contract reviews are prepared to the required standards and are submitted within the necessary timescales.
  • Approve employee expenses for scopes.
  • Assist with organising hire of approved subcontractors and equipment from suppliers in line with control of Subcontractor Procedures.
  • Document project processes, lessons learned, and best practices for future reference.
  • Manage project budgets and ensure that costs remain within approved limits.
  • Handle scope changes through formal change control processes.
  • Monitor project progress, track milestones, and manage potential delays.

Required skills / knowledge:

  • Experience of working within a Projects or Operations environment.
  • Experience of working in Inspection Services would be an advantage but not essential.
  • Proven track record of supporting personnel with operations such as cost sheets, Logistics and training.
  • Able to work alongside external stakeholders such as clients and suppliers to ensure effective delivery of operations and build working relationships.
  • The ability to confidently plan and manage jobs and work scope operations.
  • Experience & ability to manage multiple projects simultaneously and work to deadlines.
  • Ability to work on own initiative and as part of a team & along with good communication skills.
  • Ability to prioritise and organise.
