We’re growing fast, building something truly special, and we’re looking for a brilliant part-time Executive & Financial Assistant to join our small but mighty team and work directly with our founder.

The Role

This is an exciting opportunity for someone who thrives in a fast-paced, ever-changing environment and wants to play a crucial role in a dynamic startup. You’ll work closely with our founder, ensuring the operational side of the business runs smoothly, while keeping her organised, focused, and free to build the brand and business further. This is a varied and hands-on role, ideal for someone who loves wearing multiple hats and getting stuck into everything from inbox management to financial admin and recruitment coordination. Key Responsibilities

  • Founder support: Manage the founder’s inbox and calendar, assist with task prioritisation, scheduling, and follow-ups
  • Inbox management: Dive into shared team inboxes to support customer queries and keep operations flowing
  • Recruitment coordination: Schedule interviews, keep our hiring pipeline organised, liaise with candidates, and ensure smooth onboarding processes
  • Financial admin: Support with monthly tasks including invoice collection and entry into Xero
  • Organise and coordinate trainer payments
  • Track and maintain financial records and documentation
  • Operations: Learn the ins and outs of how MotivatePT runs and step in to support across various departments when needed
  • Ad hoc projects: Assist the founder with visibility and brand growth initiatives, which may include organising content shoots, liaising with partners, or managing small marketing tasks

Who You Are

  • Incredibly organised, with a sharp eye for detail
  • Experience supporting busy founders or senior leaders in a startup or small business
  • Calm, reliable, and efficient, even when juggling multiple tasks
  • Confident working with tools like Google Workspace, Slack, Notion, and ideally Xero
  • Financially literate – you’re comfortable with numbers and financial admin
  • Proactive, solutions-focused, and comfortable wearing many hats
  • Passionate about growth – your own, and the business’s
  • Based in the UK and happy to come to occasional in-person team days
