The Role You’ll be the right hand to our Business Operations Lead and the engine behind “how we work” at Mother Root. This is a brand‑new role in a brand‑new function, which means two things: real ownership from day one, and a genuine path to grow with us. There’s a real opportunity for the right person to grow as the team scales, so if you want to learn the craft of business operations, with hands‑on coaching and support as you grow, this could be for you. You’ll sit in the Business Ops team alongside our Office Manager & Team Coordinator. The Business Ops Lead sets the direction, standards and priorities; you’ll help bring them to life, supporting the team across systems, training, tooling, and AI‑enabled ways of working so we can all move faster with less friction.

What You’ll Do You’ll own:

  • The Ways of Working Log – keep it tidy and up to date, run regular reviews, ensure actions are delegated to the right owners and followed through
  • Notion support for the team – be the first port of call for questions, keep team training current as things evolve, support colleagues with building pages and databases, and help keep our workspace healthy
  • Tech stack – auditing our tech stack database, keeping it accurate, and helping ensure access is correct across the business

You’ll support the Business Ops Lead with:

  • Improving our Notion workspace – database hygiene, structure, permissions, templates, and “single source of truth” standards
  • Knowledge management – keeping the SOP library current with lightweight governance (review cadence, archiving old docs)
  • Meeting practices – supporting the team to run better meetings: improving recurring meeting structures, building templates and tools for agendas and embedding good habits so teams can run them well themselves
  • Notion onboarding & training delivery – bite‑size sessions, refreshers, and docs for new starters and the wider team
  • Maintaining our core business operating system – workflows, SOPs, dashboards, meeting rhythms and decision logs so nothing slips
  • Driving AI adoption day‑to‑day – helping identify high‑value use cases, test prompts/playbooks, and support teams to embed AI responsibly
  • Designing and delivering lightweight automations – to remove admin and reduce manual updates (using tools like Make, Zapier or n8n where appropriate)
  • Operational execution – turning ideas into clear tasks, projects, follow‑ups and comms so momentum stays high
  • Improving data quality and reporting across our key operational databases so we can trust what we’re looking at

What You’ll Bring We’re more interested in how you think and how you move than in ticking every box. We’re open on background. Recent grads, people with 1–2 years of ops/admin experience, or career switchers are all welcome – what we care about is how you think and what you bring. The essentials:

  • Some hands‑on Notion experience – you’ve used it in a previous role and aren’t starting from scratch. You don’t need to be a database wizard; we’ll teach you the deeper stuff.
  • AI‑aware and curious – you’ve used tools like Claude, ChatGPT or Notion AI in some capacity and you’re keen to do more. We’re not looking for an AI expert. We’re looking for someone who wants to keep learning.
  • A systems brain – you naturally try to bring order to messy information and enjoy figuring out how things connect.
  • Proactive and resourceful – you move quickly, follow through, and don’t wait to be told what to do twice.
  • A clear communicator – you write well, can translate “ops‑speak” into simple guidance, and keep stakeholders in the loop.
  • Detail‑orientated – you notice the broken link, the messy data, the gap in the doc, and you fix it.
  • Curious and resilient – when something breaks or you don’t know, you enjoy figuring it out.
