Purpose of the Role
The Shoot Production Assistant is a central part of the shoot team, responsible for planning and coordinating product through the studio pipeline. You will ensure shoots run efficiently by plotting SKUs, managing timelines, and liaising with Stylist, Production, Buying, Merch, and Ecommerce teams. You will also support on-set operations and maintain a professional, organised studio environment.
Key Responsibilities
- Pre-Production
- Plot all SKUs into shoots and manage seasonal shoot timelines and excel sku trackers.
- Schedule shoots based on product landing dates, sample availability, and primary dates.
- Liaise with Buying, Merch, Ecommerce, and Styling to align sample handovers, live dates, and go-live timings, flagging any risks or delays early.
- Maintain monthly product libraries, inventory logs, and colour matching approvals.
- Communicate daily with BAAs regarding sample availability and loan requests.
- Provide administrative support to the Senior Production Manager across project tracking, timelines, and team resourcing, including regular updates to Monday.com boards.
- Organise samples across studio and storage, keeping seasonal and core product clearly tracked.
- Prepare rails for Ecommerce model and flat shoots, including steaming and tag removal.
- Support the shoot team on set to ensure shoots run to plan.
- Assist with set ups, pack-down, and preparation for upcoming shoot days.
- Manage studio housekeeping and ensure all studio SOPs are followed.
- Organise shoot kit, props, couriers, and hire equipment as required.
- Track all products shot daily and ensure timely delivery to Ecommerce ahead of primary dates.
- Manage the filing, naming, and organisation of shoot assets within the DAM system.
- Ensure approved assets are uploaded accurately and available to wider teams.
- Support Ecommerce with imagery issues such as missing assets or delivery gaps.
