The Role: We’re looking for a professional, friendly, and highly organised Switchboard Operator/Receptionist to be the welcoming face of our Salford HQ to start immediately, and provide cover through the busy holiday period until mid-September. You’ll play a key role in delivering a great first impression and keeping front-of-house operations running smoothly. This role is based onsite at our HQ in Salford, and hours are worked on a rota system of 8am - 4.30pm or 9am - 5.30pm, Mon - Friday.

Main Duties may include:

  • Visitor Management: Greet and sign in visitors professionally, issuing and collecting visitor badges; ensure the reception area is tidy, welcoming, and meets Health and Safety standards; escort visitors to meeting points during emergencies and inform them of fire evacuation procedures; book meeting rooms, manage priorities, and arrange refreshments and parking for guests when required.
  • Communication Handling: Receiving and responding to incoming queries via email and telephone; routing calls or inquiries to the appropriate personnel efficiently.
  • Document Management: Scanning and electronic filing of relevant documents; maintaining organised and accurate electronic records.
  • Logistics and Coordination: Organise incoming and outgoing post; arranging courier services for efficient deliveries; booking travel arrangements and managing associated documentation.
  • Meeting and Event Support: Manage the booking of meeting rooms effectively, managing priorities; welcoming external customers for meetings.
  • Staff and Facilities Support: Issue badges to new employees and provide relevant induction and reception training for new recruits or temporary staff; manage gym bookings, car parking guidelines, and the car registration list; maintain and monitor CCTV activity, reporting any concerns to appropriate personnel; support the Facilities Manager with ad hoc administrative and operational tasks.
  • Catering & Hospitality Support: Coordinate and provide refreshments and catering for internal meetings, including board meetings and senior leadership events; support with onsite catering arrangements for senior level employees, ensuring timely service and a high standard of presentation.

What we're looking for: Previous experience in a fast-paced switchboard or receptionist role is essential. In addition: Familiarity with office systems, travel booking, and courier arrangements is advantageous; excellent written and verbal communication skills; strong attention to detail and accuracy in all tasks; excellent organisational skills; ability to work under pressure; proficiency in using office software (e.g., Microsoft Office Suite); professional demeanour and customer service orientation.
