About the Role
We’re looking for an organised and proactive individual to join our fast-paced bids team in a varied and engaging support role. This position offers excellent exposure to the bid process and the chance to work closely with experienced Bid Writers, the Senior Bid Manager and Group Bid Director. While the role is primarily focused on coordination and support, there is a clear opportunity to develop into a Bid Writer position for those who are interested in pursuing that path. This role is ideally suited to someone with strong common sense, a calm and adaptable approach, and the ability to thrive in a busy, deadline-driven environment. A strong team focus is essential. During your probation period, the role will be primarily office-based to support learning and integration with the team. Once confident and self-sufficient, there will be flexibility to move to a hybrid working model.
Key Responsibilities
- Maintain and organise the central library of company documents, including certificates, statistics and written responses
- Coordinate with internal teams and clients to gather and share key information
- Manage timelines and points of contact to ensure information is received and distributed efficiently
- Track and maintain bid records, supporting reporting and performance analysis
- Oversee a central mailbox, ensuring queries are handled promptly by the appropriate team members
- Review incoming opportunities against defined criteria and keywords
- Summarise complex or large volumes of information into clear, accessible formats
- Complete standard forms using pre-approved content and data
- Support the creation of engaging and persuasive bid content, including written responses and visuals
- Work with HSQE to maintain up-to-date compliance documents, policies and accreditations
- Contribute to continuous improvement of bid processes, templates and systems
- Provide general administrative and coordination support to the bids function
- Update the CRM system with bid activity and support reporting requirements
