Morson Edge are currently seeking a Co-Ordinator on a permanent basis to support the Wildcat Maintenance Services at RNAS Yeovilton.

JOB PURPOSE

To provide administrative and Building Management support to the Wildcat Contractor Maintenance (WCM) and Wildcat Support Services (WSS) departments, including assisting WMS Managers as required.

MAIN ACTIVITIES AND TASKS

  • Office administration including:
    • Act as the Building Manager for Support Services B654 and B163.
    • Building and Facilities Manager for WCM B663 (H9) including Portakabin facilities - report problems to VIVO and update Management.
    • Direct liaison with Defence Digital for the creation and amendment of MODNet IT accounts.
    • Manage LH documents on LH SharePoint as required.
    • Managing mail & correspondence received as required.
    • Collating data and producing reports as required, including QDC & KPI's, supporting Deputy Manager.
    • Collate and draft minutes as required, including the weekly WCM & WSS engineering meeting. Responsible for the distribution of the final copy of minutes to relevant parties.
    • Produce visitor notification documents and interim hosting where required ensuring compliance with RNAS Yeovilton Standing Orders.
    • Assist with the introduction of new personnel and department leavers by assigning lockers to new starters and ensuring photo charts and office records are updated accordingly and shared with relevant personnel.
    • MODNet for WIST - keep DISP requests up to date to include leavers, joiners, role changes and hardware requests.
    • Ensure the personnel information/documents held remain in date and are updated when necessary and circulated to relevant personnel e.g. Driving licenses.
    • Escorting personnel / visitors to and from the main gate as required.
    • Managing the office equipment, stationery and supply accounts.
    • Create and maintain an asset register for valuable / attractive items of stationery.
    • Maintenance of the WCM / WSS notice boards ensuring information displayed is current.
    • Support collecting deliveries from the Air Station main gate.
    • Producing presentation material.
    • Responsible for the distribution of vacancy posters.
  • The escalation of additional resources / requirements for Management approval.
  • Management and focal point for the coordination of all WCM and WSS stationery requirements.
  • Focal point for the request, maintenance, repair and replacement of printers and IT hardware.
  • Co-ordination of conferences and meetings and minute taking as required.
  • Provide administration of the LH lease vehicles pertaining to WCM and WSS.
  • Control, recording and filing of vehicle utilisation and fuel card log.
  • Maintaining oversight to ensure vehicles remain in date for servicing, MOT and defect rectification through liaison with the WMS coordinator. Maintain sign out sheets.
  • Retention of monthly vehicle usage and before use inspection logs.
  • Close liaison with Morson Technical Services HR team including (but not limited to) collating documentation and attendance forms, coordinating attendance at Occupational Health appointments and managing PPE requests and clothes orders.
  • Maintain a system for timely liaison with RNAS Yeovilton security to ensure MOD FAY access passes are issued and renewed in an accurate and timely manner.
  • Monitor the RNAS Yeovilton intranet site / announcements and circulate any relevant information to ensure all personnel maintain an awareness of changes to Air Station policies, requirements and activities.

The role requires close liaison with multiple areas including but not limited to:

  • Wildcat Training Centre.
  • RNAS Yeovilton Command / 4C's / Security / IT / Defence Digital / Infra and MOD personnel.
  • WMS Management Team.
  • LH(UK) Departments A/C Services / IT / WIST / SMO / Training Academy / WTC Planning.
  • Morson Technical Services HR / Contract Support.
  • Morson Resources Support Manager (South).
  • Morson Contract Support Officer.

KNOWLEDGE SKILLS AND EXPERIENCE

Previous experience of operating an office, preferably in a technical or workshop environment.
