Duration: 6-month contract
Rate: £200 - £250 p/d
Our client is a telecommunications organisation that has been awarded the contract to deliver the communications and IT infrastructure for the Hinkley Point C project. They are currently seeking an experienced Document Controller to provide administrative and document management support to the project team.
Key Responsibilities:
- Modify and format complex Word documents, ensuring consistent use of styles, headers, cross-references, and automated Tables of Contents.
- Standardise Excel workbooks, ensuring formulas are functional, data validation is applied, and layouts are professional for stakeholder review.
- Proofread technical specifications and reports for grammar, spelling, and clarity, ensuring technical jargon is used correctly and consistently.
- Manage the end-to-end documentation workflow (Creation, Review, Approval and Distribution).
- Maintain a robust Master Document Register (MDR) to track the status and revision history of all project assets.
- Ensure that superseded documents are archived correctly and that only the latest versions are available to the engineering team.
- Manage the "Single Source of Truth." Ensure strict adherence to naming conventions and revision numbering and acceptance status codes.
- Perform regular audits of the document management system to ensure naming conventions and filing structures are strictly followed.
- Liaise with engineers and project managers to gather necessary documentation and "nudge" contributors to meet formatting standards.
- Familiarity with Quality Management Systems (ISO 9001).
Skills & Qualifications:
- Advanced MS Office Proficiency: Expert-level knowledge of Word (Styles, Section Breaks, Template creation) and Excel (VLOOKUP/XLOOKUP, Pivot Tables, Data Validation).
- Attention to Detail: An obsessive eye for formatting inconsistencies and typographical errors.
- Technical Literacy: Ability to understand technical terminology (e.g., networking, hardware specs, or IoT protocols) to ensure context-aware proofreading.
- Process-Driven: A methodical approach to managing high volumes of data and files.
Desirable Skills:
- Automation: Experience using VBA or Power Query to automate repetitive formatting tasks or data cleanup within Excel.
- Systems Knowledge: Familiarity with Document Management Systems (DMS) or Common Data Environments (CDE); SharePoint knowledge is a key requirement.
