We're looking for a highly organised and proactive Administrator to join our Sales & Bids team in a varied and fast-paced support role. This position plays a key role in keeping information, documentation and processes running smoothly across the team. You'll work closely with Bid Writers, the Senior Bid Manager and Group Bid Director, helping to coordinate activities, manage information and ensure deadlines are met.

Previous bid or sales experience isn't required. We're looking for someone with strong administrative skills, excellent attention to detail and the confidence to manage multiple priorities. If you're naturally organised, enjoy working with people and can keep calm when things get busy, we'd love to hear from you.

For those interested in developing their career, the role also offers opportunities to gain exposure to bid management and proposal writing over time. During your probation period, the role will be primarily office-based to support learning and integration with the team. Once established in the role, you'll have the flexibility to move to a hybrid working arrangement (typically 3 days in the office and 2 from home per week).

Key Responsibilities:
  • Maintain and organise the team's central library of documents, including policies, certificates, statistics and standard company information
  • Coordinate with colleagues across the business to gather, update and distribute key information
  • Manage timelines, deadlines and points of contact to ensure information is received and shared efficiently
  • Maintain accurate records and reporting data across team systems
  • Monitor and manage a shared mailbox, ensuring enquiries are directed to the appropriate team members
  • Review incoming opportunities and support the team with initial information gathering
  • Summarise information and documentation into clear, accessible formats
  • Complete standard forms and documentation using approved content and company data
  • Support the preparation of presentations, submissions and other business documentation
  • Work with HSQE and operational teams to maintain up-to-date compliance information, policies and accreditations
  • Help improve internal processes, templates and systems
  • Provide general administrative and coordination support across the Sales & Bids function
  • Maintain CRM records and support reporting activities
