Our client is seeking an experienced and highly organised Office Manager to support delivery of works under the Heathrow Airport H7 Framework working for the Programme Manager. The Office Manager will play a key role in ensuring efficient day-to-day administration, coordination, and compliance across the project team in a highly regulated airport environment. This role requires strong organisational skills, discretion, and the ability to work collaboratively with project, commercial, and site teams while adhering to Heathrow and our clients governance, safety, and security standards. The role is duration is expected to be for 3 months with 5 days a week in the office at Heathrow. The role is a great opportunity to get experience working at Heathrow.
Key Responsibilities
- Office & Administrative Management
- Manage day-to-day office operations, ensuring smooth and efficient administrative support to the project team
- Maintain office systems, document control processes, and filing (electronic and hard copy) in line with project requirements
- Coordinate meetings, prepare agendas, take minutes, and track actions
- Manage stationery, equipment, and office supplies
- Project Support
- Provide administrative support to the Programme Director, Commercial Director and wider team
- Support in managing the Programme Directors schedule
- Assist with onboarding of new staff, including inductions, passes, and IT access
- Maintain project logs, trackers, and registers as required
- Support reporting deadlines and information requests from Heathrow stakeholders
- Compliance & Governance
- Ensure documentation complies with Costain procedures and Heathrow Airport standards
- Handle sensitive information with confidentiality and professionalism
- Communication & Coordination
- Act as a key point of contact between site teams, head office, suppliers, and Heathrow representatives
- Coordinate travel, meetings, and site access requirements
- Support effective communication across multidisciplinary teams
- Health, Safety & Security
- Promote a positive health, safety, and wellbeing culture
- Ensure compliance with airport security requirements and protocols
Skills & Experience Required
Essential
- Proven experience as an Office Manager or Senior Administrator, within construction, infrastructure, or engineering environments
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
- Ability to work in a fast-paced, regulated environment
- High attention to detail and strong document control skills
Desirable
- Experience working at Heathrow Airport or within a secure/regulated site
- Knowledge of construction project documentation and reporting
- Experience supporting large framework or capital delivery programmes

Additional Information
