We are looking for a detail-oriented and proactive Ocean Freight Customer Service Representative to join our team at LHR.

Location: London Heathrow Airport - United Kingdom

Office & Warehouse - 9 Blackthorne Road, Poyle, Slough, SL3 0DQ

This role covers both Import and Export, offering a well-rounded opportunity within the logistics operations space.

Job Description – Ocean Freight Customer Service Representative

  • Follow-up on operational import flow
  • Check and confirm bookings with customers.
  • Provide carrier booking instructions.
  • Check pre-alerts for complete information and inform customers.
  • Check vessel arrival status and inform arrival notices to customers.
  • Check the HBL/MBL status to ensure proper release of shipments.
  • Prepare customs clearance in a timely and accurate manner.
  • Prepare trucking orders in a timely and accurate manner.
  • Collect POD’s after delivery is completed.
  • Report all kinds of exceptions to customers or counter offices.
  • Update milestones timely in the system.
  • Update all PO’s for vendor payments timely in the system.
  • Create and send invoices for timely and accurate billing as per company standard.

Export Operational Flow:

  • Process supplier bookings and inform overseas stations when applicable.
  • Process carrier bookings based on vessel schedule and rate agreements.
  • Process export customs clearance with suppliers and customs broker.
  • Process pre-carriage with selected trucking vendors.
  • Process HBL/MBL draft instructions.
  • Process final BL’s after confirmation and vessel sailing.
  • Process AP/AR billing to complete the files.
  • Create complete pre-alerts to overseas stations and customers.
  • Report all kinds of exceptions to customers or counter offices.
  • Update milestones timely in the system.

Cross-trades Flow (Back-up Job Function):

  • Closely monitor information flow and milestones from origin and destination office.
  • Inform customer about schedules and exceptions.
  • Complete AP/AR billing as per company standard.

Other Important Tasks in the Job Scope:

  • Ensure completeness of files (digital and hardcopies).
  • Ensure clear SOP’s and documentation together with the sales team for excellent customer implementation.
  • At all times communicate with customers, vendors and Morrison staff in a proactive and professional manner.
  • Support (inside) sales with obtaining or quoting rates when requested.
  • Prepare or verify reports after request from management.
  • Conduct a proper file-check to ensure timely and accurate figures in the monthly closing.
