I am seeking a highly organised and proactive Executive Assistant to provide comprehensive support to senior leadership within a leading architectural practice. This role requires someone with exceptional administrative skills, strong business acumen, and a deep understanding of the architecture/design industry. You will act as a trusted partner, ensuring smooth day-to-day operations and enabling the leadership team to focus on strategic priorities.
- Executive Support: Manage complex diaries, schedule meetings, and coordinate travel arrangements. Prepare agendas, take minutes, and follow up on action points. Handle confidential information with discretion.
- Project Coordination: Assist with project timelines, deliverables, and client communications. Liaise with internal teams and external stakeholders to ensure seamless workflow.
- Document Management: Draft, proofread, and format reports, presentations, and proposals. Maintain accurate records and filing systems.
- Industry-Specific Tasks: Support bid submissions and tender documentation. Coordinate design reviews and assist with compliance documentation.
- Office & Team Support: Act as a point of contact for clients and visitors. Organise events, workshops, and team meetings.
Skills & Experience:
- Proven experience as an Executive Assistant or Personal Assistant at senior level.
- Previous experience within an architectural practice, design consultancy, or related creative industry.
- Strong organisational and time-management skills with the ability to prioritise effectively.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite; knowledge of Adobe Creative Suite and project management tools is advantageous.
- Ability to work under pressure and maintain attention to detail.
