We are a small engineering team operating within a leading global e-commerce and logistics organisation. We deploy cutting-edge warehouse automation across Europe and North America, and we are looking for reliable, part-time administrative support to keep our budget and contractor records highly accurate and up to date.
You do not need prior experience with our specific enterprise systems. If you have similar corporate experience, great; if not, we provide comprehensive training on our internal platforms. What matters most is that you are highly organised, comfortable navigating numbers and spreadsheets, and thoroughly dependable.
What You Will Do
- Invoice & Expense Management: Review, approve, and accurately record contractor invoices and expenses into the master budget tracker.
- Budget Tracking: Maintain a real-time budget tracker, monitoring actual spend against budget allocations by global region.
- Reporting: Assist in the production of the monthly budget report, encompassing both actuals and forecasting.
- Contractor Administration: Track start and end dates, compliance, and general onboarding status for our external contractors.
- Procurement Support: Raise and follow up on purchase requests and funding approvals within our internal corporate ordering system (full training provided).
- General Admin: Provide ad-hoc scheduling and administrative support to the engineering team as needed.
- Note on Workload: Roughly four times a year (during monthly reporting peaks), the workload will briefly increase to approximately two hours a day for about one week.
What We Are Looking For
- Organised & Autonomous: Highly accurate and reliable with the ability to manage your own time and work independently.
- Financially Literate: Confident working with spreadsheets and handling basic budget, finance, and expense administration.
- Clear Communicator: Excellent written and spoken English.
- Adaptable Learner: Willing and ready to learn our internal finance, procurement, and ordering systems (full training provided).
- Bonus (Not Required): Previous experience navigating large-scale, enterprise-led environments
