The Learner Recruitment & Reception Officer plays a vital role within the Learner Recruitment team, delivering a professional, efficient, and customer-focused service to both internal and external stakeholders. As a key point of contact, the post holder will ensure all enquiries are handled positively and effectively, whether received in person, by telephone, or through digital communication channels. The role involves providing accurate pre-entry information, advice, and guidance to prospective and current learners, directing individuals to specialist support where appropriate. As an integral part of the admissions and enrolment process, the post holder will support learner recruitment activities, process applications, and contribute to a seamless customer journey from initial enquiry through to enrolment. In addition, the role is responsible for delivering a welcoming and professional reception service. By adopting a proactive, enthusiastic, and customer-focused approach, the post holder will help create a positive first impression of the College Group and support its mission of developing future skills through outstanding teaching and learning.

Key Responsibilities
- Manage enquiries from prospective learners and employers, maximising opportunities to convert enquiries into enrolments.
- Provide a comprehensive reception service for students, staff, visitors, and members of the public.
- Support the achievement of recruitment targets across all funding streams and age groups.
- Deliver impartial pre-entry information, advice, and guidance to prospective learners and employers.
- Participate in recruitment and promotional events both on and off campus.
- Support learners throughout their journey by maintaining contact and providing guidance at key stages, including post-study progression.
- Process course applications, admissions enquiries, learner interviews, and initial assessments, while supporting recruitment activities and promotional campaigns.
Main Duties
- Act as the first point of contact for students, staff, visitors, and the public.
- Deliver reception services in a professional, welcoming, and courteous manner.
- Maintain an organised and inviting reception environment.
- Handle incoming telephone calls efficiently, resolving enquiries where possible and referring them appropriately when necessary.
- Provide accurate information, advice, and guidance on available courses and progression opportunities.
- Follow up enquiries promptly to ensure prospective learners and employers receive the information needed to make informed decisions.
- Process applications and enrolments in accordance with college policies and procedures.
- Manage HE applications through UCAS and coordinate course offers.
- Work closely with Student Support and curriculum teams to facilitate assessments, interviews, and learner support.
- Monitor application progress and provide regular updates to applicants.
- Contact successful applicants to congratulate them and ensure they have the information required to begin their studies.
- Conduct campus tours for prospective students.
- Represent the College at open days, school visits, careers fairs, and other recruitment events.
- Follow up leads generated through recruitment activities to support learner conversion and enrolment.
- Assist with enrolment events to ensure a positive learner experience.
- Contribute to the development and review of promotional and marketing materials.
- Ensure admissions processes meet service standards and key performance indicators.
- Record and maintain accurate customer enquiry data.
- Share best practice and information across college teams.
- Prepare student references in accordance with data protection requirements.
- Process incoming and outgoing mail, including operation of franking equipment.
- Support evening and out-of-hours events when required.
