Morgan Hunt requires a Facilities Administrator for a client based in Southampton.

Pay Rate: £18ph or £126 per day Ltd

Hours: 37, 8am to 4pm or 9am to 5pm, Mon to Fri

Location: Southampton/ South Coast

Duration: 6 months ongoing contract

Role Overview: The Facilities Administrator supports the effective delivery of facilities services for all building users through monitoring the performance and delivery of the Total Facilities Management Contract.

Key Responsibilities:

  • Support the oversight and management of the Total Facilities Management (TFM) contract.
  • Ensure that the Agency's buildings are safe and compliant by managing the Landlords and the TFM contractor to undertake all necessary checks and inspections as set out within the contract.
  • Maintain all necessary records and documentation relating to Statutory Inspections and Health Safety Certification to ensure they are accurate and updated.
  • Complete any day-to-day administration for the delivery of the TFM contract.
  • Maintain the Building Management system to ensure it is up to date.
  • Provide regular reports about the performance of the TFM Contractor.
  • Support Building Custodians across the Estate with regard to their duties and responsibilities.
  • Provide timely and effective communication to stakeholders and monitor the status of works orders placed to ensure works are completed on time and satisfactorily.
  • Analyse contract expenditure and the types of works being required to identify trends, areas for investment, improvement and cost reduction.
  • Produce request to purchase documentation, POs and manage through all systems/processes to ensure timely payment.
  • Oversee the delivery and update of the agency's condition survey, ensuring all surveys are captured within the Building/Asset Management system and work with the Technical Facilities Manager in monitoring and completing any works arising.
  • Support in the provision of Facilities Management Services within Spring Place.
  • Provide regular reports as required on the TFM Contractors and any other Facilities Contractors' performance with regard to compliance reporting, project completion, remedial works etc.
  • Manage and update the Facilities Management risk register.

Key Requirements:

  • Experience of administering Facilities Management type contracts.
  • Basic knowledge of Health Safety at Work Act, compliance requirements, building legislation, Construction and Design Management Regulations (CDM), Building Regulations and best practice.
  • Basic knowledge of statutory compliance requirements particularly relating to Fire Risk Assessments (FRA), Legionella Risk Assessments (LRA), Asbestos etc as well as other key estate responsibilities.
  • A good knowledge of Building Management and Maintenance systems together with competent IT skills.
