We have an exciting opportunity for you to join our team as our Operations Assistant for the WP Group, reporting to the Operations Transport Supervisor. This key position will provide operational and administrative support.

Role Overview

To assist the Operations Transport manager in overseeing and managing the VOSA Fleet and Driver operating licence compliance, maintaining and managing relevant records and spreadsheets, assuring safe and efficient operations, effective cost control and provide sufficient fleet resource to meet sales targets.

Key Responsibilities

  • Ensure all company policy, procedure, business ethic and sustainability commitments are applied and adhered to a high standard across the WP Group operation centres.
  • To record, update and communicate fleet tests, inspections, Road Fund Licence and service requirements and communicate directly with service providers.
  • To audit service contracts for fleet service agents.
  • To be aware of new fleet technology and regulation.
  • Continually work to safely drive down fleet operating costs.
  • Assist with depot infrastructure.
  • To record and monitor Fleet mileage, Fuel usage, MPG and CO2.
  • To manage and administrate manual and digital tachograph data through the FTA.
  • Ensure the regular downloading of truck tachographs at remote sites.
  • Carry out regular truck tachograph downloads at the Hythe head office operating centre.
  • Carry out regular reviews of tachograph and drivers working time infringements keeping records, identifying infringements and provide driver training or disciplinary requirement.
  • To keep records and arrange driver ADR and driver CPC training.
  • To keep records and arrange signed updates for Driver Company Policy Documents. Including PPE issue, HGV Driving Licence, Employee Handbook, etc.
  • To keep records and arrange driver induction and retraining at fuel terminals.
  • To aid operation with Driver Personal Development Plans (PDP’s).
  • Liaising with OAMPs Insurers and Drivers regarding Claims.
  • Maintaining Insurance Claim files (hard copy and digital).
  • Provide backup Vehicle Scheduling on Planning System to cover illness and holidays.

Schedule

Tuesday to Saturday. General core hours of 0500-1400hrs (with 1 hour unpaid lunch break).

Work Location

Hythe depot with travel to all locations and Head Office. Transport provided.
