An exciting opportunity has arisen for an individual to join our Programme as Support Officer.

We are looking for an organised, enthusiastic individual who is self-motivated but also enjoys working in a team. In addition to programme management support skills, you need to be able to support digital transformational change.

This role involves the effective planning, coordination, and support of complex strategies, activities, and projects. Responsibilities include clerical or administrative support, developing and implementing policy and processes, supporting the MoorConnect Programme Board, Readiness Boards, and Design Authority, as well as supporting governance reporting for the Excellence Delivery Unit (XDU) and collaboration sessions.

They will work alongside departmental teams to support user needs, ensuring successful and beneficial changes to their working practices.

Programme and Project Support

  • Provide and receive routine information requiring tact or persuasive skills to inform colleagues and stakeholders, and handle complex or sensitive information.
  • Assist in making information presentable and understandable in simple documents, spreadsheets, tailored to different audiences such as the MoorConnect Programme Board, Readiness Boards, and Design Authority Board.
  • Assess, resolve, and refer enquiries, involving other team members as appropriate; refer complex or non-routine enquiries to the manager.
  • Assist in preparing communications for programme members.
  • Liaise with the MEH communications team to update them about MoorConnect and promote outputs via social media.
  • Ensure business intelligence gathered through projects is recorded on the project tracker.
  • Take minutes and capture/ consolidate learning during workshops and meetings.
  • Manage digital communication tools (e.g., setting up virtual meetings, coordinating breakout rooms using Teams, managing virtual lobbies).
  • Other responsibilities as directed by the Programme Manager.

This position is based at our City Road site.

Training Support

  • Coordinate the administrative elements of the EPR training programme and ensure logistical arrangements are in place.
  • Support the training lead as the point of contact for training queries from staff and trainers.
  • Prepare and circulate reports on training progress, attendance, and evaluations.
  • Monitor the training inboxes and respond promptly.
  • Assist in arranging Meditech training for staff, including scheduling and venue booking.
  • Support the training lead in arranging EPR training for end users.
  • Work closely with the Project Manager/Lead on project support recruitment.
  • Provide administrative support for end user and super user training as directed.
  • Other responsibilities as directed by the Training Lead.

Project Management

  • Plan and organise straightforward project activities within 1–3 months, adjusting tasks as needed.
  • Update and maintain accurate records in the project management software.
  • Organise and support meetings with the Project Manager.
  • Track risks and issues throughout projects and programmes.
  • Ensure all projects are systematically documented.
  • Collaborate with colleagues to identify new opportunities and help design and deliver new projects.
  • Plan and coordinate events, engaging stakeholders, researching venues, and supporting logistics.
