Outpatient Clinic Coordinator at Moorfields Eye Hospital NHS Foundation Trust. Provide high‑quality clerical and administrative support, acting as the first point of contact for patients in a busy outpatient environment. Deliver excellent service to patients, relatives, and external stakeholders.

Responsibilities

  • Provide a professional, comprehensive and efficient reception and administration service to the Trust’s outpatient clinics.
  • Promote a positive image of the Trust’s outpatient services through excellent customer service to patients, relatives, carers and external stakeholders.
  • Ensure high standards of data entry and quality are achieved in both paper and electronic record‑keeping.
  • Adhere to the Trust’s Access Policy at all times.
  • Collate and prepare hospital medical records for patients’ appointments.
  • Work as part of a large administrative team and provide cross cover as required.
  • Reduce cancellations by calling patients to remind them of their appointment at agreed timescales.
  • Manage patient identification and verify details on arrival for accurate records.
  • Assess patient eligibility for NHS treatment and enter outcomes and coding promptly.
  • Book diagnostic and follow‑up appointments in liaison with appropriate departments.
  • Highlight booking issues to clinicians and ensure resolution in line with the Trust’s Access Policy.
  • Maintain regular communication with clinical and nursing teams to keep them informed of any issues that may impact clinic running.
  • Respond to patient queries regarding treatment pathways in simple terms.

Person Specification

Education & Qualifications

  • Educated to GCSE level or equivalent (English & Maths A‑C).

Knowledge & Training

  • Good working knowledge of IT systems.
  • Knowledge and understanding of confidentiality issues.
  • Desirable: previous experience using Trust IT systems (e.g. PAS, OpenEyes, Medisoft).

Experience

  • Essential: Prior administrative duties and customer‑oriented role with general public.
  • Desirable: Experience within a health care setting.

Skills & Abilities

  • Work effectively within a multidisciplinary team.
  • Handle queries over the phone and in person.

Employment Conditions

  • Proof of eligibility to work in the UK, DBS disclosure and two references required.
