The Optometry Department has over 200 staff and offers clinical services in refraction, low vision assessment, medical contact lenses, spectacle dispensing, and extended roles. We seek someone with good communication skills to join our busy Optometry Admin Team based at Moorfields Eye Hospital, City Road, London. Approximately 50% of time will be spent on the telephone dealing with patients, payments, orders and suppliers. The remaining 50% will be spent on administrative duties including reception cover. This is a full-time post.

Main duties of the job:
  • Provide a professional, comprehensive and efficient clinic management, reception and administration service within the Optometry Department.
  • Participate in a rota system to provide cross-cover for all admin/clerical roles within the department.
  • Carry out duties relating to the collection, receipt and recording of all income received by spectacle manufacturing & contact lenses via the phone system for all satellite sites.
  • Answer patient queries relating to spectacle supply.
  • Main point of contact for all calls incoming to the department.
  • Promote a positive image of the Trust’s Optometry services through excellent customer service.
  • Ensure high standards of data entry and quality across all services.
  • Adhere to the Trust’s Access Policy at all times.
Reception & Clerical:
  • Be fully trained in the use of PAS system.
  • Provide a high standard of receptionist and general administrative support to the department.
  • Update whiteboards with clinic information and wait times.
  • Assess patient eligibility for NHS treatment.
  • Record patient attendance and time stamps on PAS.
  • Identify AIS requirements and record data on the Trust’s electronic system.
  • Arrange follow-up appointments.
  • Manage Do Not Attend (DNA) and discharge patients per policy.
  • Assist reception with calls and inquiries from staff.
  • Obtain hospital records as needed.
  • Queue and label notes for collection or delivery.
Administration:
  • Open and sort incoming mail; respond to patient enquiries.
  • Arrange interpreters and transport; issue clinic appointment letters.
  • Familiar with Acuitas system for ordering spectacles.
  • Manage administration of Contact Lens orders.
  • Verify DWP entitlement documents.
  • Dispatch spectacles, contact lenses and magnifiers.
Communication / Phones:
  • Fully functional in the Netcall telephone system.
  • Liaise with external opticians for copies of prescriptions.
Educational and Personal Development:
  • Develop within a personal development plan.
  • Participate in training to achieve required competencies.
Person specification:
  • GCSE level including English and maths at least to grade C.
  • Administrative experience; experience in a busy, customer-facing role.
