We are seeking an outpatient clinic coordinator for the External Disease Department at Moorfields Eye Hospital NHS Foundation Trust in City Road.
Responsibilities
- Provide effective clinic management, reducing over‑booking and ensuring a positive experience for patients.
- Deliver a professional, comprehensive and efficient reception and administration service to the Trust’s outpatient clinics.
- Promote a positive image of the Trust’s outpatient services through excellent customer service to patients, relatives/carers and external stakeholders.
- Maintain high standards of data entry and quality in both paper and electronic record‑keeping.
- Ensure adherence to the Trust’s Access Policy at all times.
- Work as part of a large administrative team and provide cross‑cover as required.
- Actively reduce the number of canceled appointments by confirming follow‑up appointments with patients face‑to‑face where possible.
- Manage designated clinics in line with agreed clinic profiles, adjusting patient numbers to clinician availability.
- Liaise with responsible clinicians to provide regular updates regarding clinic status.
- Use systems such as PAS to monitor clinics and clinician availability.
- Identify patient assessment (AIS) requirements and record data accurately on the Trust’s electronic system.
- Maintain correct and up‑to‑date information on clinic digital screens and whiteboards.
- Record patient attendance and departure times accurately.
- Update Referral To Treatment (RTT) status and outpatient procedure coding promptly.
- Book and reschedule appointments, including diagnostic appointments in liaison with relevant departments.
- Ensure follow‑up appointments are booked according to KPIs and treatment protocols.
- Provide patients with up‑to‑date waiting time information.
- Record appointment cancellations and alterations correctly, highlighting issues identified in booking processes.
- Ensure clinics are “cashed” accurately and promptly on electronic administration systems within KPI standards.
- Track patient health records appropriately to the relevant service, using the electronic case note tracking system.
- Respond to appointment requests and other queries via email promptly.
- Liaise with clinical and nursing teams to keep them informed of problems that may impact clinic operations and ensure capacity and resources are optimised.
- Obtain and record patient information on Trust electronic systems, checking and updating regularly as evidenced by data quality audits.
- Maintain knowledge of RTT and apply it to appointment bookings where appropriate.
- Prepare notes for clinic and transport to and from clinics as required.
Qualifications and Experience
- GCSE level (English and Maths to GCSE A–C) or equivalent qualifications.
- Administrative experience, preferred within NHS settings.
- Ophthalmology experience is desirable.
Essential Skills and Knowledge
- Proficient in MS Office (Excel, Word) and other IT software packages.
- Aware of the Data Protection Act.
- Excellent oral and written communication and interpersonal skills.
- Strong customer service orientation.
- Ability to work in a fast‑paced environment and convert enquiries into outpatient appointments.
Desirable Skills and Knowledge
- Evidence of continuing education and development.
- Previous experience in NHS settings with ophthalmology focus.
