An exciting opportunity has arisen at Moorfields Ealing Site - North Division for an Assistant Clinic Manager. We are looking for an experienced team leader/admin manager to work within a busy and dynamic multidisciplinary team, overseeing our unique site at Ealing Hospital. The post holder will be part of the operational team leads for this site and will be based on-site.
You will be responsible for the day-to-day operational management of this site and the line management of the satellite administrative teams. An understanding of HR and people management skills are essential to the role. You will be able to work effectively and proactively with the team, with excellent interpersonal and communication skills, as the post holder is expected to liaise effectively and sensitively with a wide range of people, including senior management, clinicians, patients and external stakeholders.
Effective management of the RTT performance target for both admitted and non-admitted pathways are essential to the role, and previous RTT experience is necessary.
Main Duties of the Job:- Manage a professional, comprehensive and efficient reception and administration service.
- Support the outpatient clinics and the admissions team across relevant departments.
- Ensure that an efficient and caring service is provided to all patients within the relevant clinics and services.
- Promote a positive image of the Trust’s outpatient and admissions services through the provision of excellent customer service to patients, relatives/carers and external stakeholders, demonstrating a commitment to putting patients first.
- Ensure high standards of data entry and quality are achieved and sustained across all services, in both paper and electronic record-keeping.
- Ensure adherence to the Trust’s Access Policy at all times.

- Work in conjunction with the relevant assistant clinic managers or outpatient supervisors and clinic managers to ensure outpatient clinics run smoothly on a day-to-day basis, handling issues as they arise.
- Daily monitoring of clinic profiles to ensure that they are booked to the individual requirements of each service and to take action to ensure that any overbooked clinics are reduced appropriately and that clinical staff and clinic managers are aware of any issues.
- Ensure that consultants are sent their clinic profiles on a weekly basis and that any actions resulting from this take place, e.g. reducing clinics.
- Attend weekly outpatient meetings with the Clinic Manager and Booking Centre, ensuring that information on clinic profiles is made available for these meetings.
- Work closely with the Booking Centre to ensure that new appointments are booked within the appropriate timescale, ensuring that appointment slots are made available to ensure RTT and Cancer Waiting Time standards are achieved.
- Liaise closely with the contact centre to ensure that patient queries are responded to within the agreed KPIs.
- Ensure that follow-up appointments are made promptly, ensuring that these appointments are booked on the day where possible.
- Ensure that all outpatient reception staff are collecting and inputting ethnic coding and up-to-date patient demographic details on PAS on the day of patients attendance, taking action where required.
- Act when required as the first line of investigation with regard to all complaints relating to A&C staff and administrative systems and forward responses to the Clinic Manager.
- Receive annual leave requests from clinicians, ensuring that this information is disseminated appropriately and escalating where insufficient notice is received.
- Ensure that all clinics are cashed up on a daily basis for billing purposes.
- Ensure that the A&C staff are complying with any requirements regarding health records management.
- Ensure that all transport and interpreting services are booked appropriately by the Outpatient Coordinators, ensuring that any specific requirements are communicated promptly.
- Education to degree level or equivalent knowledge, skills and experience.
- Experience of managing staff.
- Desirable criteria: Experience managing patient pathway and waiting lists effectively; Experience using PIMs.
