We’re looking for a Business Support Administrator to join our Tronc Services Team in St Albans on a 12-month fixed-term contract, providing maternity cover. This is a busy and varied administrative role where you’ll support the team in delivering a responsive and accurate service to our clients. You’ll manage client requests, prepare documents and communications, maintain records and trackers, monitor shared mailboxes and help ensure important deadlines are met.
You don’t need previous experience of tronc services as full training will be provided. We’re looking for someone with strong administration experience who is organised, comfortable working with different systems and able to manage competing priorities while maintaining a high level of accuracy. The role offers hybrid working, with up to three days per week based in our St Albans office. We are planning to hold interviews during the week commencing 24 August, with a view to the successful candidate joining us by the end of September.
Key Responsibilities
- Monitor shared client mailboxes, responding to requests promptly and escalating urgent matters where appropriate.
- Prepare client letters and documentation using Microsoft Word templates, mail merge and PDF.
- Maintain Excel trackers, databases and internal records, ensuring information is accurate and up to date.
- Support the set-up of new clients and maintain relevant records, files and systems.
- Maintain accurate electronic filing within our paperless document management system.
- Draft and issue client communications and monitor responses.
- Support the team with AML administration, payroll calendars, processing schedules and other regular administrative processes.
- Provide general administrative support and assist with ad hoc projects across the team.
Skills, Knowledge & Expertise
- Previous client or customer-facing administration experience.
- Confident user of Microsoft Outlook, including experience managing shared mailboxes.
- Intermediate Microsoft Word skills, including templates and mail merge.
- Intermediate Microsoft Excel skills, including maintaining spreadsheets, filtering, sorting and using formulas.
- Experience using electronic filing or document management systems.
- Experience of accurate data entry and database maintenance.
- GCSEs (or equivalent) at Grade C/4 or above in English and Maths.
- Strong organisational skills with the ability to prioritise and manage competing deadlines.
- Excellent attention to detail and a commitment to getting things right first time.
- Good written and verbal communication skills with a customer-focused approach.
- Ability to work effectively in a fast-paced environment, learn quickly and take ownership of your workload following training.
