Responsible to: Chief Executive
Purpose of job: To ensure the smooth day-to-day operations of the charity by providing comprehensive administrative support, managing records and communications, coordinating events and acting as a key point of contact for volunteers and supporters.
Location: Office based or hybrid working - at least one day per week at the MoorTrees office in South Brent. The role is typically office-based, with some occasional travel for events, community outreach or to support our Operations.
Transport: Own vehicle required
MAIN DUTIES AND RESPONSIBILITIES
This position will play a vital role in supporting the day-to-day operations of the charity. It is responsible for managing a wide range of administrative tasks, maintaining records, handling communications, co-ordinating events, and assisting with the smooth running of the charity. Working with our small team the role is also a point of contact for our volunteers and supporters.
- Administrative: General administrative support to the Chief Executive and charity team including being first point of contact for all enquiries, diary management and ensuring the charity office runs smoothly. Organise and maintain charity records, ensuring they are accurate, up-to-date and easily accessible and supporting the preparation of reports and presentations. Ensure compliance with data protection regulations and best practices when handling sensitive information. Help with basic bookkeeping tasks such as recording expenses, managing invoices, receiving and recording donations. Assist in the planning, organisation, and co-ordination of charity events, including AGM, fundraising activities, walks, workshops and community engagement activities by managing event logistics such as booking venues, arranging catering, sending invitations, and handling registrations and joining instructions.
- Communications and outreach: Assist with our volunteering programme diary, listing sessions on Eventbrite and our social media channels and co-ordinate our presence at community events and shows. Assist with gathering stories from the staff team and volunteers and help with the production of newsletters, email campaigns, and other communications to keep members, supporters, donors, and volunteers informed about the charity’s activities and impact. Monitor and maintain the charity’s social media accounts and website ensuring content is up-to-date and aligned with the organisation’s goals and routine data analysis is undertaken. Manage the charity’s image library with the cataloguing of images from our events and activities.
- Operations and volunteering programme: Provide administrative support to our Operations team including our Seed Gathering operations, tree sales and landowner engagement. Support the recruitment and induction of volunteers including maintaining volunteer schedules and records and preparing timely information and feedback on volunteering days. Foster positive relationships with volunteers, ensuring they feel supported and valued in their roles with a responsibility for working with a cohort of volunteers to support our. Provide administrative support for, and assist with, the monitoring and evaluation requirements of our funded programmes. Maintain and update the charity's supporter CRM database (Donorfy), ensuring that all contact information and records are complete and accurate. Process and distribute our Tree Dedication certificates. Provide administrative support to the Fundraising Manager completing corporate and funding research as directed. Provide administrative support during fundraising campaigns, events or initiatives and co-ordinate our Wild Work Days and open day opportunities with corporate groups.
- Other: To be aware of and adhere to Moor Trees’ policies and procedures, including health and safety and consistently apply the principles of Equality, Diversity and Inclusion (EDI) and Safeguarding, as embodied in Moor Trees policies and practices throughout the duties outlined above. Undertake any other tasks commensurate with the level of the role.
